Job Description

We are seeking a File Clerk to join our team onsite. The role requires experience with physical and digital filing systems, proficiency with Excel spreadsheets for logging and labeling, and the ability to manage, organize, and prepare files for shredding or offsite retention. The position involves repetitive tasks that require focus, accuracy, and adherence to records retention procedures. The role requires the ability to lift 10-15 lbs.

Pre-Submission Questions:

• What experience do you have with physical and digital filing systems.
• Are you comfortable using Excel spreadsheets.
• Can you lift boxes that are 10-15 lbs.
• How do you keep yourself focused and motivated on repetitive tasks.
• Are you organized. This role requires pulling files from shelves, organizing in boxes by year closed, and logging labels on a spreadsheet.

Responsibilities:

• Search for and pull files from shelves according to an account closed filing list.
• Shred files that are past the required closed account retention date.
• Package closed files not being shredded into boxes by year closed.
• Label boxes with account numbers, closed dates, and dates of destruction.
• Empty all files from shelving unit 2 for facilities maintenance.
• Condense and reorganize remaining open account files on shelving by account number order.
• Prepare and stage file boxes for shipment to offsite retention, following offsite location instructions and materials, as needed.

Required Skills & Qualifications:

• Experience with physical and digital filing systems and records retention protocols.
• Proficiency with Microsoft Excel for logging, labeling, and tracking files.
• Organization and attention to detail with ability to follow filing sequences.
• Ability to lift and move boxes weighing 10-15 lbs.

Preferred Skills:

• Experience with offsite records storage processes and documentation.
• Familiarity with shredding compliance and retention schedules.
