Position Overview

Financial Services company Client Billing department is comprised of revenue professionals across Billing, Reporting, and Cash Applications, responsible for calculating, invoicing, and collecting separate account revenue globally.

Title: Billing Analyst / Billing Associate

Location: Newport Beach, California

Duration: Contract – Potential to Convert to Permanent

Compensation: $33 - $38/hour

Work Requirements: 100% Onsite, Monday–Thursday | Standard Hours: 8:00 AM–5:00 PM

Start: Late October / Early November

Billing Analyst / Billing Associate

Our client is seeking a highly motivated, intellectually curious, and detail-oriented Billing Analyst / Billing Associate to join the Finance/FP&A organization supporting institutional investment-management accounts.

This is an early-career Associate opportunity with significant hands-on training and development. The Billing Analyst will manage a book of approximately 300 institutional accounts, each with its own fee schedule, AUM calculations and billing requirements. Account complexity will vary significantly, and the individual will begin with less complex accounts while developing the knowledge required to manage increasingly sophisticated billing relationships.

This is not simply a processing role. The position requires strong analytical thinking, accounting fundamentals, attention to detail, ownership and an interest in using technology and automation to improve processes.

Key Responsibilities

• Prepare and validate fixed and incentive fee invoices for institutional accounts
• Manage customized billing requirements and individual fee schedules
• Source and analyze data from multiple systems and databases, including SQL and Oracle
• Validate billing results and investigate discrepancies or anomalies
• Calculate monthly revenue to support GL reporting
• Perform variance analysis and investigate out-of-tolerance results
• Apply accounting concepts, including understanding of the accrual cycle
• Perform reconciliations and data validation
• Execute assigned billing controls and maintain organized, audit-ready documentation
• Support second-level review and quality-control processes
• Identify inefficiencies and recommend process improvements
• Support automation initiatives using available technologies
• Develop an understanding of billing data, fee structures, AUM calculations and system outputs
• Collaborate with Finance, Legal, Account Management and other internal stakeholders
• Take ownership of assigned accounts and deliverables while meeting critical deadlines

Technology & Analytical Skills

• Strong Microsoft Office skills, particularly Excel
• Excel formulas, VLOOKUP and Pivot Tables required
• Ability and willingness to learn new applications and systems
• Exposure to SQL and Oracle databases is valuable
• Interest in using AI and automation to enhance productivity
• Opportunity to utilize tools such as Alteryx and Python for process improvement and automation
• Strong aptitude for working with data from multiple sources

Position Requirements

• Bachelor's degree required
• Degree in Finance, Accounting, Economics, Mathematics or related field
• Strong Accounts Receivable / Billing aptitude
• Solid accounting fundamentals and understanding of the accrual cycle
• Experience in billing, accounts receivable, financial analysis, accounting, financial operations or a related function
• Strong analytical and problem-solving skills
• Exceptional attention to detail and commitment to accuracy
• Ability to manage multiple priorities in a deadline-driven environment
• Strong written and verbal communication skills
• Professional corporate presence and strong interpersonal skills
• Demonstrated initiative, ownership and accountability
• Ability to identify problems and develop ideas for solutions

Preferred Industry Background

Experience in one or more of the following environments is preferred:

• Institutional Finance

Industry flexibility is available for candidates with strong transferable billing, AR, accounting, analytical and financial operations experience.

Role Environment

• Most institutional accounts are billed quarterly in arrears
• The first month following quarter-end is a particularly high-volume period
• Each account has customized billing requirements and fee schedules
• Account complexity ranges from straightforward to highly complex
• Accuracy is critical when reviewing AUM, fee schedules and market-related inputs
• Extensive hands-on training and peer mentoring will be provided
• The individual will progressively take ownership of more complex accounts
• Successful candidates will demonstrate initiative, resilience, curiosity and the ability to thrive under pressure
