The Healthcare Data & Billing Coordinator is responsible for collecting, validating, and organizing patient census and clinical documentation from multiple electronic medical record (EMR) systems to support accurate billing and revenue cycle operations. This position serves as a key liaison between providers, clinical staff, and the billing department by ensuring required documentation is received, complete, and accurate before billing activities occur.
Essential Duties & Responsibilities
Retrieve daily census reports from multiple EMR systems across various healthcare facilities.
Verify patient census data for accuracy and completeness.
Collect, organize, and maintain provider documentation, including rounding logs, encounter logs, and other required billing support documents.
Track outstanding provider logs and proactively follow up to ensure timely submission.
Compare provider documentation against patient census to identify discrepancies or missing information.
Maintain spreadsheets and internal databases used for billing and operational reporting.
Communicate with providers, practice managers, and facility staff regarding missing or incomplete documentation.
Assist the billing team by ensuring documentation is complete prior to claim preparation.
Generate routine operational and census reports for leadership.
Identify trends or recurring documentation issues and communicate opportunities for process improvement.
Maintain confidentiality and ensure compliance with HIPAA and organizational policies.
Perform additional administrative and data management duties as assigned.
Qualifications
Required
High school diploma or equivalent.
2+ years of healthcare administrative, medical office, revenue cycle, or medical records experience.
Experience navigating electronic medical record (EMR) systems.
Strong attention to detail with excellent organizational skills.
Intermediate to advanced Microsoft Excel skills.
Ability to manage multiple priorities in a fast-paced environment.
Excellent written and verbal communication skills.
Preferred
Associate's degree in healthcare administration or related field.
Experience working with multiple EMR platforms.
Knowledge of healthcare documentation requirements.
Experience supporting physician billing or revenue cycle operations.
