Overview:
The Hourly Coordinator, Workforce Programs provides administrative, operational, and customer service support for Continuing and Professional Studies workforce training programs, including Business and Career Training, Computer Training, Contract Training, and related workforce development initiatives. The Coordinator supports program implementation, registration, purchasing, instructor support, outreach activities, data entry, and student services to ensure efficient program operations and a positive student experience.
Responsibilities:
Program Coordination and Administrative Support
- Coordinate implementation of assigned workforce training programs and courses.
- Collaborate with Director and Program Administrators regarding upcoming schedules, course offerings, and program activities.
- Enter course and section information into Colleague and other College systems.
- Coordinate classroom, lab, and facility scheduling requirements.
- Maintain course rosters, registration records, attendance records, and program documentation.
- Prepare and distribute program materials and communications to students and instructors.
- Support instructor onboarding processes and maintain instructor documentation.
- Coordinate instructor payroll documentation and contract processing.
- Monitor student evaluations and support collection of program feedback.
Student Services and Registration Support
- Serve as a first point of contact for prospective and current students.
- Respond to inquiries regarding program offerings, schedules, registration procedures, prerequisites, and course requirements.
- Assist students with registration, payment, enrollment, and general program questions.
- Provide information regarding workforce training programs, credentials, and career pathways.
- Refer students to appropriate College resources when necessary.
- Support student retention through timely communication and follow-up.
Purchasing, Requisitions, and Logistics
- Create requisitions, blanket purchase orders, purchase orders, and related purchasing documentation.
- Order textbooks, instructional materials, supplies, software licenses, equipment, and other program resources.
- Coordinate receipt and distribution of instructional materials and supplies.
- Maintain inventory records and monitor supply needs.
- Assist with vendor communications and procurement processes in accordance with College policies.
Outreach and Recruitment Support
- Support information sessions, recruitment activities, open houses, employer events, and community outreach initiatives.
- Respond to inquiries from prospective students and employers.
- Assist with distribution of marketing and recruitment materials.
- Support lead tracking and enrollment activities.
Data Entry and Reporting Support
- Maintain accurate student, instructor, and program records.
- Enter and update data in Colleague and other College systems.
- Assist with enrollment, attendance, completion, and workforce outcome tracking.
- Support preparation of operational reports and data requests.
- Ensure accuracy of program information maintained in registration and reporting systems.
Qualifications:
Education
- Associate degree required or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.
Experience
- Two years of related experience in administrative support, workforce development, student services, customer service, higher education, training operations, or a related field.

- Experience utilizing Colleague or similar student information systems preferred.
