HR Assistant – EMR Training Coordinator

Position Summary
The HR Assistant – EMR Training Coordinator is responsible for onboarding and training newly hired employees on the agency's Electronic Medical Record (EMR) system. This position works closely with Human Resources, Clinical Management, and department leaders to ensure all new employees are properly trained, have appropriate system access, and can confidently navigate the EMR system while maintaining compliance with company policies, HIPAA regulations, and agency documentation standards.
Essential Duties and Responsibilities
- Conduct EMR orientation and training for all newly hired employees.
- Create and maintain employee EMR accounts and coordinate system access with IT or the EMR vendor.
- Train employees on EMR navigation, documentation requirements, scheduling, messaging, and agency workflows.
- Provide one-on-one coaching and additional training as needed.
- Monitor employee progress during training and provide feedback to supervisors.
- Develop and update EMR training materials, user guides, and reference documents.
- Assist employees with troubleshooting basic EMR issues and escalate technical concerns when appropriate.
- Ensure all new hires complete required EMR competencies before independently performing job duties.
- Maintain records of completed training and employee competency evaluations.
- Participate in new hire orientation and assist with the onboarding process.
- Provide refresher training when software updates or workflow changes occur.
- Work with management to identify documentation trends and recommend additional training opportunities.
- Ensure employees understand HIPAA requirements, documentation standards, and company policies related to EMR use.
- Maintain confidentiality of employee and patient information at all times.
- Perform other duties as assigned.
Qualifications
- High school diploma or equivalent required; associate degree preferred.
- Previous experience in Human Resources, healthcare administration, or medical office operations preferred.
- Experience using an Electronic Medical Record (EMR) system required.
- Home Health or Hospice experience preferred.
- Strong computer skills, including Microsoft Office applications.
- Excellent communication, presentation, and interpersonal skills.
- Ability to train individuals with varying levels of computer proficiency.
- Strong organizational and time-management skills.
- Ability to maintain confidentiality and professionalism.
Knowledge, Skills, and Abilities
- Thorough understanding of EMR workflows and documentation processes.
- Knowledge of HIPAA and patient privacy regulations.
- Ability to explain technical concepts in a clear and supportive manner.
- Strong problem-solving and troubleshooting skills.
- Ability to work independently and collaboratively with multiple departments.
- Excellent attention to detail and organizational skills.
Physical Requirements
- Ability to sit for extended periods while conducting computer-based training.
- Ability to occasionally stand, walk, bend, and lift up to 20 pounds.
- Ability to use standard office equipment, including computers, printers, and telephones.
- Hours 9am - 530pm
Work Environment
This position is primarily based in an office environment with occasional interaction with clinical staff. The employee will regularly use computers and office equipment while providing in-person and virtual training sessions.
