HubSpot Operations Specialist
 
Job Purpose

SXSW is seeking a HubSpot Operations Specialist to own the day-to-day operation of SXSW’s HubSpot platform across both Marketing and Partnerships. This role builds and maintains the infrastructure behind SXSW’s full-funnel strategy, from nurture flows and lead-scoring logic to campaign reporting and CRM alignment.
 
Working closely with the Marketing and Partnerships teams, the HubSpot Operations Specialist keeps data clean, automations reliable, and reporting trustworthy on both sides of the funnel. This is a hands-on, technical role for someone who can translate revenue strategy into scalable system operations, ensuring our workflows run smoothly and reliably with minimal daily oversight.
 
Duties & Responsibilities
Responsibilities include, but are not limited to:
  • Build and maintain complex HubSpot Marketing and Sales Hub workflows to automate lifecycle stages, lead nurturing, routing, and internal notifications.
  • Design and optimize lead-scoring models and audience segmentation logic to improve funnel performance and support targeted marketing campaigns.
  • Develop and optimize email nurture programs across lifecycle stages, from first touch through event attendance.
  • Own data integrity and governance, including deduplication, property consistency, regular system hygiene, bulk imports and exports, and auditing API integrations during peak event periods.
  • Troubleshoot misfiring automations and reporting discrepancies by tracing system issues back to their root causes.
  • Document system workflows, automations, and reporting definitions to ensure long-term platform transparency for the broader team.
  • Collaborate cross-functionally with the Partnerships and Leadership teams to align revenue data flows, build dashboards, and implement accurate attribution models.
  • Support campaign execution with audience segmentation and list pulls.
  • Create and update marketing landing pages in HubSpot
  • Create and manage dashboards that provide visibility into campaign performance, engagement, and funnel health.
  • Build and maintain reporting for leadership and reconcile reporting definitions.
  • Stay up to date on HubSpot innovations and best practices to bring forward new ideas
On-site Responsibilities
  • Support the on-site execution of conference and festival marketing for SXSW and SXSW EDU and the overall production of both events through various marketing operations.
  • Monitor data flows, automations, and CRM integrations during peak event windows to keep marketing and Partnerships systems running cleanly.
Qualifications & Skills
Qualifications include:
  • 4+ years of experience in marketing operations, CRM management, or lifecycle marketing.
  • Proven expertise in HubSpot, including automation, segmentation, lead scoring, and reporting.
  • Direct, hands-on ownership of both Marketing Hub and Sales Hub, with fluency in how marketing and sales data connect through lifecycle stages, lead scoring, and pipeline mechanics.
  • Demonstrated ability to build clean, reliable automations and maintain CRM data quality with minimal oversight.
  • Strong analytical mindset with the ability to translate data into actionable marketing strategies.
  • Experience working cross-functionally with sales, data, and technology teams.
  • Highly organized, detail-oriented, and comfortable managing multiple priorities.
  • Understanding of customer journey mapping and lifecycle engagement strategies.
  • Knowledge of the industries represented at SXSW and a passion for working with the creative community.
  • Ability to multitask, be agile, and adapt to evolving deadlines and priorities.
  • Familiarity with HubSpot, Google Analytics, Airtable, G Suite, and FileMaker.
  • Experience working with HTML and CSS.
  • Basic familiarity with SQL is a plus.

Work Location & Schedule
The position is full-time and located in Austin, Texas (hybrid schedule, with three days on-site per week as applicable). Core business office hours are from 10 am to 6 pm Monday through Friday. Availability to work extended hours, including evenings and occasional weekends, from January through March to support major campaign launches. You must also be available for the March event, which will have extended working hours on-site.
