Job Title: Human Resources Coordinator Department: Office of Human ResourcesReports to: Chief Human Resources OfficerFLSA Status: Exempt  Job SummaryThe Human Resources Coordinator provides operational support for key Human Resources functions, including recruitment, onboarding, personnel actions, HRIS transactions, employee records, student employment, orientation, and general HR administration.The position is responsible for coordinating assigned HR processes, maintaining accurate records, monitoring required documentation, and providing timely customer service to employees, applicants, and University departments. The HR Coordinator works independently within established policies and procedures and refers matters requiring policy interpretation, employee relations intervention, compliance determinations, exceptions, or management approval to the appropriate HR leadership team member.The HR Coordinator reports to the Chief Human Resources Officer (CHRO).ESSENTIAL DUTIES AND RESPONSIBILITIESCoordinate recruitment and onboarding activities, including applicant tracking, hiring documentation, background checks, and pre-employment requirements.Review submitted documentation for completeness and route materials through established approval processes.Coordinate new employee onboarding, Form I-9 processing, and New Employee Orientation.Maintain recruitment and onboarding records and communicate routine status updates to candidates and hiring departments.Process personnel actions and maintain employee information in applicable HR systems.Review transactions and supporting documentation for accuracy and completeness before processing or routing for approval.Monitor pending transactions and follow up with departments regarding missing or incomplete information.Assist with routine HRIS corrections, data reconciliation, electronic forms, and workflow processes.Coordinate HR processing for student employees, work-study employees, and graduate assistants.Review employment documentation for completeness, process approved transactions, and maintain required records.Communicate routine processing requirements and status updates to students and University departments.Maintain personnel, recruitment, onboarding, and other assigned HR records in accordance with University requirements.Support records requests, audits, and reporting by gathering and organizing HR documentation.Monitor designated HR communications and workflow queues and ensure requests are addressed or routed appropriately.Maintain the confidentiality and security of employee, applicant, and other sensitive information.Serve as a point of contact for routine HR questions regarding established processes, forms, deadlines, and system requirements.Assist employees and departments with navigating routine HR processes and systems.Coordinate HR training, orientation, communications, meetings, and departmental initiatives as assigned.Refer employee relations matters, complaints, grievances, policy interpretation, compensation or classification questions, and other sensitive or complex matters to the appropriate HR leadership team member.Maintain tracking tools and prepare routine HR reports related to assigned functions.Monitor deadlines, outstanding documentation, and workflow status to support timely processing.Identify processing discrepancies, recurring issues, or potential compliance concerns and escalate them for appropriate review.Provide administrative and operational support to the CHRO and Human Resources department, including special projects and other related duties consistent with the position's classification. KNOWLEDGE, SKILLS AND ABILITIESKnowledge of general human resources practices and administrative processes.Strong organizational, customer service, communication, and attention-to-detail skills.Ability to manage multiple priorities and meet established deadlines.Ability to maintain accurate records and handle confidential information appropriately.Ability to review documentation for completeness and identify matters requiring additional review.Proficiency with HR information systems, applicant tracking systems, electronic workflows, Microsoft Office, and related technology.Ability to work independently within established procedures and recognize when matters require escalation. MINIMUM QUALIFICATIONSBachelor's degree in Human Resources, Business Administration, Public Administration, Management, or a related field from an accredited college or university.Three years of related human resources or personnel administration experience.Experience using HR information systems, applicant tracking systems, or comparable administrative technology. PREFERRED QUALIFICATIONSFive or more years of progressively responsible human resources experience.Human resources experience in higher education, the public sector, or a similarly complex organization.Experience supporting recruitment, onboarding, HRIS transactions, and employee records.Professional HR certification or progress toward certification is preferred.Equal Employment OpportunityFort Valley State University is an equal opportunity employer.
