Job Title: Human Resources (HR) Coordinator
Reports to: HBT HR Manager
FLSA Status: Non-Exempt
Position Purpose
The HBT HR Coordinator supports daily HR operations while coordinating administrative processes and project activities that advance the company's people strategy. This role manages employee inquiries, records, HR systems, reporting & analytics, and compliance-related tasks, while also assisting with HR initiatives such as process improvement, documentation updates, and cross-functional project follow-up. The position requires sound judgment, strong organizational skills, confidentiality, customer service orientation, and the ability to manage multiple priorities in a deadline-driven environment.

Duties and Responsibilities
- Serve as the first point of contact for employee questions related to policies, procedures, timecard discrepancies, paid time off, and general HR matters.
- Provide support for recruiting, new hire orientation, pre-employment processing, onboarding activities, and benefits administration.
- Process HR documents, including new hire paperwork, policy acknowledgment forms, and I-9 documentation.
- Maintain accurate employee data in the HRIS, including status changes, promotions, transfers, and pay adjustments.
- Partner with Payroll by providing requested employee and payroll-related information.
- Coordinate pre-qualification screenings in accordance with client-specific requirements.
- Coordinate the drafting and distribution of announcements and other required employee communications, working in conjunction with the marketing team and HBT executive leadership team.
- Assist with creating and updating job descriptions and maintaining documentation compliance with applicable federal, state, and local requirements.
- Coordinate logistics, timelines, materials, and follow-up for HR processes and projects, including HBT career architecture, policy updates, training coordination, and other people initiatives.
- Prepare recurring and ad hoc HR reports, dashboards, and tracking tools to support departmental planning and decision-making.
- Maintain HR templates, forms, standard operating procedures, and shared department resources.
- Assist with research projects, process improvements, and other HR special projects that support organizational and strategic HR goals.
- Track action items, deadlines, and follow-up items for cross-functional HR initiatives and escalate issues as appropriate.
- Support compliance with applicable federal, state, and local employment laws and company policies.
- Perform other related duties as assigned.
Position Requirements
- Associate or Bachelor's degree in Human Resources, Business Administration, or a related field.
- Three or more years of experience in an office or other customer service-oriented environment; prior Human Resources experience preferred.
- Ability to exercise sound judgment and maintain confidentiality with sensitive information, records, and reports.
- Strong customer service skills and a service-oriented approach with internal and external customers.
- Strong attention to detail, organizational skills, and ability to manage multiple priorities in a deadline-driven environment.
- Ability to adapt to change and work proactively, collaboratively, and independently.
- Strong verbal, written, analytical, and interpersonal communication skills.
- Proficiency in Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Word.
- Experience with ADP Workforce Now preferred.
- Ability to interpret and apply laws, regulations, policies, and procedures appropriately.
- Demonstrated integrity, professionalism, and strong work ethic.
- Ability to work occasional evenings and weekends.
- Ability to travel occasionally, including some overnight stays.
