Position Overview
\n
The HR Office Administrator is a hybrid role split evenly between front office operations and human resources administration. This person is the face of Guzman Energy's Denver office — welcoming guests, keeping conference rooms and common areas running smoothly, and managing office supplies and vendors — while also handling the day-to-day transactional work that keeps HR moving, from onboarding and payroll support to recruiting coordination. This role is well suited to a highly organized, detail-oriented professional who enjoys variety, can move fluidly between guest-facing and administrative work, and takes pride in running a well-organized, welcoming workplace.

Key Responsibilities
\n
Front Office & Facilities Management (~50%)
\n

- Guest & Visitor Management: Greet guests and visitors as they arrive and escort them to the appropriate conference room, notify building security of expected or arriving visitors, manage visitor parking, and relay building-related communications from Hines Management to staff.
- \n
- Conference Room Management: Own the conference room booking calendar and resolve double-booking conflicts by finding alternate space, notifying affected parties, and rescheduling as needed; reset rooms after meetings (push in chairs, clean whiteboards, return stray items); and set up rooms with drinks and snacks for guest meetings.

- Kitchen & Supplies: Empty the dishwasher each morning and run it at the end of the day, put away stray dishes left in the sink, order and stock coffee, snacks, and drinks, coordinate Wednesday company lunches including setup and breakdown, wipe down counters hourly, and check the mailroom daily.

Human Resources Support (~50%)
\n
- \n
- Transactional & Administrative: Process and route job requisitions; enter and audit employee data changes in ADP; pull and format headcount, turnover, and org chart reports; process background checks and onboarding paperwork; maintain I-9 files, process I-9 updates, and respond to employment verification requests; track leave-of-absence paperwork; process bonus payments and associated 401(k) contributions; process 401(k) allocation changes and respond to routine employee account inquiries; field employee questions on HSA, FSA, and 401(k) plans; collect, track, and reconcile intern hours each pay period; administer and track open enrollment; and pull audit reports.

- Onboarding & Offboarding: Build and distribute first-day agendas for each new hire; manage onboarding tasks including system access requests, equipment requests, orientation scheduling, benefits enrollment follow-up, headshots, and parking spot coordination; assign trainings and track orientation requirements; chase and log onboarding task completion across departments; and execute termination actions including processing final pay, coordinating equipment return, issuing COBRA notices, and completing system offboarding.

- Immigration: Coordinate and track H-1B application filings and associated deadlines and prepare LCA (Labor Condition Application) certifications.
- \n
- Compliance: Track training completion and follow up with overdue employees to meet deadlines; maintain, update, and distribute the employee handbook; pull and file annual compliance reports; and support end-of-year tax requirements, including reports and state reports and audits.
- \n
- Recruiting Support: Write and post open roles on LinkedIn and other job boards; build and manage hiring timelines and follow up with hiring managers for decisions and feedback; draft and update job descriptions and interview guides; schedule and coordinate interviews and debrief sessions; communicate offer details and next steps to candidates; log and track candidate activity and dispositions; and send rejection notifications to candidates.

- Performance & Engagement: Administer the performance review cycle, including sending reminders, tracking form completion, chasing late submissions, and filing appraisal forms; and coordinate engagement survey logistics.

Preferred Qualifications
\n

- Associate's or bachelor's degree in Human Resources, Business Administration, or a related field, or an equivalent combination of education and experience
- \n
- 2+ years of experience in an HR administrative, HR coordinator, or office administration role
- \n
- Working knowledge of ADP or a similar HRIS/payroll platform strongly preferred
- \n
- Familiarity with I-9 compliance, basic benefits administration, and payroll processes
- \n
- Exposure to H-1B or other immigration processes a plus, but not required
- \n
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- \n
- Strong written and verbal communication skills, with a professional, welcoming demeanor
- \n
- SHRM-CP or PHR certification a plus
- \n
