We're hiring an HVAC Service Coordinator/Dispatcher to manage scheduling, technician dispatch, and day -to -day communication between our field teams, customers, and project partners. This is a critical role that keeps operations running smoothly, ensures accurate project coordination, and maintains strong customer relationships — including support on special projects work.

Key Responsibilities<\/b>

Dispatch & Service Coordination<\/i>
<\/p>

  • Receive and respond to all client inquiries, service calls, and after -hours requests
    <\/li>
  • Prioritize incoming service tickets and dispatch field technicians accordingly
    <\/li>
  • Schedule preventive maintenance visits, repairs, and equipment startups
    <\/li>
  • Act as liaison between the office and assigned field technicians
    <\/li>
  • Maintain and update the dispatch board, open call reports, and work notes
    <\/li>
  • Monitor open work orders and ensure timely resolution and documentation
    <\/li><\/ul>

    Customer Relations<\/i>
    <\/p>

    • Follow up on customer issues and ensure satisfaction
      <\/li>
    • Coordinate monthly maintenance workload and provide updates
      <\/li>
    • Invoice completed jobs and communicate job status with clients
      <\/li><\/ul>

      Materials & Resource Management<\/i>
      <\/p>

      • Order and track job materials
        <\/li><\/ul>

        Special Projects Support<\/i>
        <\/p>

        • Manage quotes and proposals — track from generation through job execution
          <\/li>
        • Align workflow with general contractors and subcontractors
          <\/li>
        • Coordinate billing and vendor invoicing with the Project Manager and Foreman
          <\/li><\/ul>

          Reporting & Continuous Improvement<\/i>
          <\/p>

          • Prepare weekly technician time reports; verify hours and expenses
            <\/li>
          • Enhance service efficiency through continuous improvement
            <\/li>
          • Support a strong safety culture by reminding technicians to use PPE and lift protection
            <\/li><\/ul>

            Requirements<\/b>
            <\/p>

            • 3+ years of office coordination or dispatching experience (HVAC or trades preferred)
              <\/li>
            • Strong communication skills and professional customer service approach
              <\/li>
            • Ability to manage schedules, prioritize tasks, and respond quickly to changing needs
              <\/li>
            • Familiarity with HVAC service operations and terminology a plus
              <\/li>
            • Proven accuracy and attention to detail in timekeeping and documentation
              <\/li>
            • Proficient in Microsoft Word, Excel, and Outlook
              <\/li>
            • Able to work well with teams and handle deadlines under pressure
              <\/li><\/ul>
