What you'll do
In this Inside Sales role, you will be a key hub between customers, outside sales, and manufacturer partners, helping drive projects from quote through delivery and closeout.
You will:
- Serve as a primary point of contact for assigned customer accounts, responding quickly to questions about products, pricing, and order status for boilers, steam equipment, pumps, and related hydronic components.
- Manage the order entry process in CRM/ERP (including NetSuite), from quotes and orders to returns and warranty items, with a focus on accuracy and code-compliant equipment selections.
- Coordinate product deliveries and logistics to ensure accurate and on-time shipment of boilers, steam packages, pump skids, and other hydronic equipment.
- Act as the first responder for inbound customer calls and emails, troubleshooting basic questions related to hot water, steam, and hydronic systems and routing complex issues to outside sales or manufacturers.
- Keep job lists, quote records, and project schedules up to date in the quote/project management system.
- Use industry databases to research upcoming projects and perform preliminary takeoffs for hydronic and steam applications (e.g., boiler plants, heating hot water systems, and process steam).
- Maintain project timelines and documentation, including submittals, customer acknowledgements, delivery schedules, IOMs, and project closeout packages for boiler and hydronic projects.
- Develop Installation, Operation, and Maintenance manuals so customers have clear instructions for operating and maintaining their boilers, steam systems, and hydronic equipment.
- Collaborate closely with manufacturers to resolve product and project issues, support equipment start-ups, and help coordinate warranty-related work on boilers and steam/hot water systems.
- Continuously build your technical knowledge of Hoffman Hydronics' product lines and applications across boilers, steam products, pumps, water heaters, and flow control, while upholding our Core Values in all interactions.
What you bring
- 2+ years' experience in an inside sales, account management, or similar customer-facing role; experience with HVAC, hydronics, boilers, or industrial/technical products is preferred but not required.
- Strong communication skills and a natural ability to build trust and long-term relationships with contractors, engineers, and facility teams.
- High attention to detail, strong organizational skills, and the ability to manage multiple projects and deadlines in a fast-paced environment.
- Technical aptitude and curiosity-you are comfortable learning how hydronic and steam systems work and how equipment like boilers, pumps, and heat exchangers fit into a building's HVAC design.
- Solid time management skills and follow-through; you take ownership of tasks and see them through.
- Proficiency with business software and order-entry systems (CRM/ERP), and the ability to learn new tools quickly.
- A sincere desire to help others and be part of a collaborative, values-based, employee-owned team.
- A bachelor's degree is preferred but not required; equivalent experience in inside sales, account management, or account support for technical products will be considered.

Working conditions
- Primarily office-based role with regular collaboration across sales, operations, and manufacturer teams.
