Inside Sales Rep I

Summary

The Inside Sales Representative I manages assigned customer accounts and supports the full lifecycle of customer orders. This position responds to product and service inquiries, prepares timely and accurate quotations, enters and maintains sales orders, resolves routine customer issues, and ensures customer and order information is complete and current within the ERP system.
The role collaborates with Outside Sales, Engineering, Supply Chain, Manufacturing, and Finance to ensure customer needs and internal business requirements are met. Strong communication, organization, multitasking, problem-solving, and attention to detail are essential for success. This position must maintain a quality-focused and customer-oriented approach in all activities.

Job Duties and Responsibilities

• Process customer quotations and sales orders within the ERP system Microsoft Dynamics 365 Business Central.
• Ensure customer information, pricing, product details, delivery requirements, and supporting documentation are entered accurately and completely.
• Maintain records and documentation in accordance with company procedures and quality requirements.
• Respond to customer calls and emails regarding products, services, quotations, order status, lead times, deliveries, and other account-related questions.
  • Serve as a liaison between customers and Engineering to obtain technical information and product clarification.
  • Coordinate with Supply Chain and manufacturing locations to obtain product availability, lead times, production status, and delivery updates.
• Partner with Finance to address customer account questions, invoice discrepancies, credits, and other billing-related issues.
• Build and maintain positive, professional relationships with customers through responsive and accurate communication.
• Resolve routine customer complaints and order-related issues, including shortages, shipping discrepancies, damaged items, and delivery concerns.
• Work closely with Inside and Outside Sales team members to support customer requirements, quotations, order execution, and account activities.
• Maintain accurate and up-to-date customer account, quotation, and order information within company systems.
• Monitor open quotations and sales orders and communicate relevant updates to customers and internal stakeholders.
• Generate routine customer, quotation, order, and sales reports as needed.
• Perform other related duties as assigned.

Skills and Knowledge

• Working knowledge of customer service practices and techniques within an industrial, manufacturing, distribution, or similar environment.
• Familiarity with quotation, order entry, order fulfillment, and customer account processes.
• Ability to learn company products, services, terminology, and sales processes.
• Familiarity with ERP or order-management software; experience with Microsoft Dynamics 365 Business Central is preferred.
• Competent to proficient in Microsoft Office applications, including Outlook, Excel, Word, and Teams.
• Strong verbal and written communication skills.
• Strong organizational and documentation skills.
• Detail-oriented with a commitment to accuracy and quality.
• Resourceful with effective problem-solving skills.
• Ability to manage multiple priorities and customer requests in a fast-paced environment.
• Ability to work effectively with customers and cross-functional internal teams.
• Ability to remain professional and solutions-focused when responding to customer complaints or time-sensitive issues.
• Ability to recognize when an issue requires escalation or additional technical support.

Education

• High school diploma or equivalent required.
• Associate degree in Business, Sales, Marketing, or a related field preferred.

Experience

• One or more years of customer service, inside sales, order entry, sales support, or related experience preferred.
• Industrial, manufacturing, distribution, or related industry experience preferred.
