Legal Administrative Assistant
Description: Miller & Chevalier is seeking a highly skilled and motivated Legal Administrative Assistant to provide advanced administrative and document support to timekeepers and the broader legal administrative team. Responsibilities:
Document Creation & Processing
Create, edit, revise, redline, proofread, and format correspondence, pleadings, agreements, and other legal documents using Microsoft Office and firm-supported platforms
Apply advanced document processing skills, including styles, tables of contents, comparisons, clean/blackline documents, document assembly, and quality control
Compile, reproduce, and organize documents, notebooks, binders, and exhibits, ensuring accuracy, consistency, and adherence to firm standards
Billing & Financial Administration
Support the billing process by entering time, proofreading bills, editing proformas in Billstream, coordinating final invoices with Accounting, and distributing invoices in compliance with OCG
Process invoices and travel expense reports via Emburse
Practice & Matter Support
Prepare new client and matter intake forms
Draft engagement letters
Assist with due diligence projects
Calendar, Travel & Logistics
Manage timekeepers' calendars as needed, including scheduling meetings and coordinating domestic and international travel
Arrange visa and passport renewals and proactively apprise timekeepers of upcoming commitments
Proactive Practice Management
Anticipate next steps and follow-up with timekeepers to ensure deadlines and deliverables are met
Invest in the success of assigned practices by providing reliable, forward-thinking support
Business Development & Client Support
Coordinate and assist Marketing with the production of business development and marketing materials
Maintain and update client contact information in Interaction
Team Collaboration
Work collaboratively with timekeepers, case managers, and other legal administrative assistants
Provide back up support for team members as workloads and schedules require
Additional Duties: Reception duties and other firm-related responsibilities as assigned
Requirements:
Bachelor's degree preferred
Five or more years of litigation experience; sanctions experience a plus
Strong document processing/production background in a law firm or professional services environment
Superior technical proficiency, including:
Microsoft Word, PowerPoint, Excel, and Teams
iManage (preferred), iTimeKeep (preferred), Billstream, Emburse, and Kofax
Excellent written and verbal communication skills with a strong command of the English language
Proven ability to manage multiple priorities simultaneously, both independently and as part of a managed team
Demonstrated ability to work effectively under pressure and interact professionally with all levels of firm personnel
Ability to build cooperative, supportive relationships with colleagues
Commitment to maintaining confidentiality, discretion, and professionalism
Positive attitude, approachability, reliability, punctuality, and flexibility to work overtime as needed
Hours: 9:00 a.m. - 5:30 p.m.
Hybrid Schedule: Nine days per month in the office
The expected base salary range for this position is $75,000 to $95,000. The salary offered will be determined based on job related factors such as education, experience, qualifications, and certifications or licenses, in accordance with applicable law.
As part of the selection process, candidates may be required to complete assessments evaluating grammar and Microsoft Word document formatting skills.
