Job SummaryManaging all administrative tasks for legal cases, including maintaining client system updates, preparing correspondence and legal documents, organizing electronic files, arranging discovery and depositions, communicating with courts, and intensive calendaring. The role primarily supports one or more attorneys in the Birmingham, Alabama office, while also collaborating with paralegals and attorneys across Alabama, Georgia, Mississippi, and Texas.Duties & ResponsibilitiesPrepare and format memoranda, correspondence, and other legal documents.Independently draft routine pleadings, such as complaints, motions, notice of hearings, affidavits, defaults, and notices of publications.Read and electronically profile e‑mails.File pleadings electronically with courts and record documents in land records.Maintain professional relationships with business associates and clients.Schedule appointments, meetings, depositions, and mediations for attorneys.Assist in scheduling seminars, industry dinners, luncheons, and other events as requested.Collaborate closely with staff and paralegals to maintain structured case files.Organize case files (electronic and physical) to facilitate easy access.Proofread legal documents as required.Provide support in a high‑volume, time‑sensitive environment.Provide client status updates, follow up on outstanding documents, and coordinate with title contacts on recordings.Assist with check‑downs of closed, active, and hold files, including forwarding invoices for foreclosures fees and costs.Assist with opening files and applying fee approvals.Manage and organize document production and identify privileged documents.Generate reports and follow up on outstanding tasks.Handle audits requested by clients.Capture billable time for client‑related tasks.Perform additional duties as needed.Education & Work ExperienceMinimum high‑school diploma or equivalent; secondary education or some college a plus.Minimum 2 years litigation paralegal experience or equivalent knowledge of Alabama mortgage litigation. Knowledge of Georgia, Mississippi, and/or Texas litigation proceedings is a plus.Certified paralegal designation is a plus.Experience with billing time for attorneys and paralegals is a plus.Knowledge, Skills & AbilitiesPositive attitude and team‑player mindset.Provide legal support to attorneys and the team.Manage a portfolio of files for clients.Navigate state and federal jurisdictional requirements.Excellent verbal and written communication skills; ability to communicate with clerks, judges, opposing attorneys, and clients.Excellent customer service skills internally and externally.Self‑starter with strong time‑management abilities.Balance team and individual responsibilities and contribute to a positive team spirit.Demonstrate accuracy, thoroughness and a commitment to quality improvement.Exceptional organizational skills; multi‑task and adapt to change.Proficient in proofreading and editing.High‑level proficiency with MS Office.Experienced in internet research functions.Familiarity with case and document management software.Understanding of law policies and procedures.Ability to transcribe correspondence, reports, and legal documents.Operate computer peripherals such as fax, scanner, photocopier, typewriter, and telephone.Strong written and oral communication and interpersonal skills.Capture and bill time as a paralegal.Physical DemandsThe physical demands include frequent sitting, talking, and hearing.
