Job Profile Summary

Provides administrative and coordination support to the legal team on matters involving the organization's rights, obligations, and privileges. Serves as a point of contact between the organization and external parties, including customers, suppliers, competitors, and government agencies. Assists in resolving business or technical issues by gathering relevant information, identifying potential legal or risk‑mitigation considerations, and preparing recommended options for review. Supports the examination and organization of legal data and internal processes.

Requires full proficiency through job-related training and considerable on-the-job experience to perform a range of tasks. Non-routine problems are solved by applying precedents and existing processes to new situations. Identifies key issues and patterns from partial or conflicting data. Works under limited supervision for routine situations. May act as an informal resource for colleagues with less experience.

JOB RESPONSIBILITIES

Technology- Update all relevant information to keep site current. Utilizes various software systems, including independently creating, updating, and generating reports in database management systems. Coordinates solutions with Information Systems Department for staff technological problems.

Administrative- Completes and processes forms, documents, and reports. Maintains personnel files. Responsible for tracking all budget expenditures for Government Relations through tracking of business objects reports. Downloads all reports, independently balances/reconciles all reports with check requests and budget. Identifies and researches variances/problems and solves them on their own. Tracks and monitors revenue, expense, and allocations. Provides applicable reports to department leadership. Tracks funding and maintains accurate balances in funds and accounts. Reconcile departmental credit card statements.

Project Management- Designs and coordinates work, schedules, activities, information, and processes. Prioritizes tasks. Independently identifies resources and practical processes for completing projects; does what it takes to get the work done independently. Manages calendars of departmental staff scheduling and coordinating multiple calendars and multiple meeting requests simultaneously.

Support- Develops and maintains efficient internal communication processes to support the departments. Acts as initial contact and triages requests to departments. Serve as first level problem resolution for staff as needed. Directing people appropriately, deciding upon priority of requests/situations, and escalating as needed to responsible department leadership. Takes ownership to resolve issues and concerns communicated to the department.

JOB QUALIFICATIONS

Required:

  • High school diploma or equivalent

  • 2+ years of work experience in a related job discipline

Preferred:

Legal and/or Paralegal experience
