SUMMARY 
 
This position performs a broad range of administrative and clerical support for one or more partners, associates and/or paralegals. Demonstrates the ability to partner with assigned lawyers and paralegals in the effective and efficient support of the practice group. 
 
ESSENTIAL DUTIES AND RESPONSIBILITIES 
  • Creates, transcribes, revises and maintains legal documents and correspondence. Makes edits to documents, spreadsheets, and letters on a regular basis; 
  • Screening telephone calls, serving as liaison between attorneys and others inside and outside firm, providing professional and courteous customer service to all; 
  • Opening, stamping, and sorting mail, and noting dates for calendar; 
  • Retrieving files and documents; 
  • Handling administrative matters for attorneys/paralegals/supervisors and ensuring compliance with firm procedures, including preparing conflict checks, receiving reports, initiating follow up, opening files, reviewing and revising client billing prepared by accounting department, answering questions of accounting or other departments;
  • Copying documents and/or coordinating office assistance with administrative and clerical functions; 
  • Filing all materials and documents promptly, boxing and closing of files as needed; 
  • Maintaining filing system, contact list, and calendar; 
  • Coordinating attorneys' schedules and making travel arrangements; 
  • Preparing expense reports, and completing other administrative forms; 
  • Scheduling appointments, depositions, and scheduling/coordinating necessary resources such as conference rooms and court reporters, with vendors, office services and other departments; 
  • Preparing and assembling error-free final documents and ensuring timely delivery of same to all recipients via mail, overnight service, courier, etc.; 
  • Coordinating filing of documents with courts or government agencies, ensuring that they meet requirements of the court or agency concerning format, number of copies, covers, etc., and serving on other parties as appropriate, including electronic filing of approved documents with appropriate courts or agencies as directed; 
  • Finding factual information on the Internet as directed;
  • Providing assistance to others in office whenever requested based on priorities of current work in-hand, promoting teamwork and mutual cooperation among all staff members;
  • Other duties as requested or assigned. 
  • Ability to type at least 70 wpm without error. 
SKILLS
  • Proficient with Microsoft Office Suite; 
  • Knowledge of relevant legal terminology and court procedures; 
  • Knowledge of the procedures for establishing and maintaining legal and other records and files; 
  • Strong grammar, excellent proofreading skills, and attention to detail.  
QUALIFICATIONS
  • High School Diploma or equivalent required. Three to five years of legal experience, preferably in a law firm; 
  • Requires strong multitasking skills and the ability to thrive in a fast-paced environment 
  • Excellent planning and organizational skills; 
  • Professional demeanor and detail oriented.
