Overview

A prestigious international law firm is seeking an experienced Legal Secretary to provide high-level administrative and legal support to attorneys and practice teams. This role is ideal for a proactive, detail-oriented professional who thrives in afast-paced professional services environment and takes pride in delivering exceptional support and client service.

As a key member of the administrative team, the Legal Secretary will play an integral role in supporting attorneys by managing critical administrative functions, coordinating workflows, and ensuring matters progress efficiently. This position requires strong organizational skills, discretion, technical proficiency, and the ability to manage multiple priorities while maintaining the highest standards of professionalism.

Responsibilities

  • Prepare, edit, proofread, format, and finalize a variety of legal and business documents, including correspondence, agreements, pleadings, motions, subpoenas, contracts, and other legal materials.

  • Manage attorney workflows, priorities, calendars, and deadlines while serving as a trusted administrative partner.

  • Collaborate closely with attorneys, administrative professionals, and shared services teams to provide seamless support.
  • Assist with client billing activities, including reviewing and editing prebills and coordinating with finance and billing departments.
  • Open new client matters and coordinate requests for client files and records through appropriate internal teams.
  • Arrange domestic and international travel, including transportation, lodging, and related logistics.
  • Enter, review, and finalize attorney time entries in accordance with firm procedures.
  • Maintain electronic and physical filing systems, ensuring accurate organization and record retention.
  • Coordinate meetings, conferences, client visits, and special events, including scheduling, catering, technology support, and meeting logistics.
  • Manage calendars, appointments, phone communications, contact databases, and routine correspondence.
  • Provide transcription and dictation support as needed.
  • Organize incoming mail and ensure timely routing of documents and communications.
  • Process expense reports, invoices, and accounts payable requests.
  • Manage original legal documents, deposition transcripts, and other confidential records.
  • Convert, edit, and format documents across multiple platforms, including Word, PDF, Excel, and PowerPoint.
  • Support attorneys and practice teams with a variety of administrative and project-based requests.
Requirements

  • High school diploma required; associate's degree or bachelor's degree preferred.
  • Minimum of 10 years of legal secretarial or executive legal support experience within a law firm or professional services environment.
  • Typing proficiency of at least 60 words per minute.
  • Advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Experience with document management systems and legal technology platforms preferred.
  • Familiarity with AI-powered productivity tools such as ChatGPT, Copilot, Claude, or similar technologies is a plus.
  • Thorough understanding of legal terminology, legal documentation, and court filing procedures, including electronic filing systems.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong organizational, project management, and multitasking abilities with exceptional attention to detail.
  • Ability to manage competing priorities, meet deadlines, and adapt to changing business needs.
  • Demonstrated professionalism, discretion, and sound judgment when handling confidential information.
  • Proven commitment to delivering exceptional service to both internal and external clients.
  • Flexibility to work additional hours when necessary to support business demands.
