Job Description

Legal Secretary

Provide administrative support to multiple Fiduciary Accountants, ensuring the smooth day-to-day management of trust and estate matters. Draft, revise, and finalize correspondence, legal documents, and filings for clients, attorneys, and taxing authorities. Prepare and process electronic estate and probate court filings through TurboCourt. Maintain accurate client records, files, and documentation, ensuring all information remains current and organized. Manage incoming and outgoing mail, including FedEx, UPS, and USPS correspondence. Assist with the preparation and organization of estate tax binders, supporting both federal and state filings. Create new client matter files and coordinate administrative processes related to client on boarding. Support fiduciary income tax and estate tax return processes while ensuring deadlines and filing requirements are met.

A successful Legal Secretary should have: Prior experience in a law firm environment, ideally supporting trusts & estates, probate, or fiduciary professionals. Strong proficiency in Microsoft Office, including Word, Excel, and Outlook. Familiarity with fiduciary income tax returns, estate tax returns, and probate-related documentation. Excellent organizational skills with the ability to manage multiple priorities and deadlines. Strong written and verbal communication skills and a professional client-service approach. Exceptional attention to detail and a commitment to producing accurate work. The ability to work independently, take initiative, and thrive in a fast-paced environment. Experience with legal research tools such as Westlaw and LexisNexis is a plus.

Competitive salary ranging from $60,000 to $80,000 annually. 35-hour work week with overtime eligibility. 25 days of PTO from day one, plus paid holidays.
