Eligible for a hybrid work schedule split between home & office, with a minimum of 3 days in the office each week.

The Legal Services Permits and Licensing Administrator will report to the VP of Legal Services and work as part of a team of 13 based in Calabasas Hills, CA. You will provide critical support to the Licensing team by assisting with regulatory filings, permit tracking, and coordination related to new restaurant openings and ongoing compliance matters. You will bring strong attention to detail, stay organized across multiple deadlines, and partner with internal teams, government agencies, and outside counsel.

Support the preparation, review, and submission of license and permit applications to various regulatory and government agencies.
Monitor application statuses, key deadlines, and outstanding follow-up items to ensure timely processing and completion.
Maintain accurate and organized electronic records of licenses, permits, applications, and supporting documentation.
Collaborate with cross-functional teams, including Legal, Operations, and Development, to collect and validate required information and materials.
Assist with post-submission activities, including renewals, amendments, ownership changes, management updates, and related regulatory filings.
Serve as a professional point of contact for government agencies, regulatory bodies, and external legal counsel regarding routine licensing matters.
Update and maintain internal tracking systems, databases, and reporting tools to provide visibility into licensing activities and project progress.
Identify potential issues, risks, or delays impacting licensing timelines and escalate concerns as appropriate to ensure compliance requirements are met.
Support ongoing compliance efforts by ensuring licensing documentation remains current, complete, and accessible for audits and internal review.
What we require:
Strong accuracy and attention to detail when preparing documents, maintaining records, and tracking deadlines.
Ability to manage multiple priorities and workstreams while following through on time-sensitive items.
Clear and professional written and verbal communication with internal teams, external counsel, and government agencies.
Working knowledge of Microsoft Excel and Microsoft Word.
Ability to work a hybrid schedule with a minimum of three days in the Support Center office each week.
What we prefer:
One+ years of related experience in permits, licensing, regulatory filings, legal administration, or a similar compliance-focused environment.
Experience supporting licensing or permit activity connected to new locations, restaurant openings, or multi-site operations.
Experience maintaining a permits tracker, licensing database, or other deadline-driven reporting tool.
Ability to understand and follow state and local regulatory requirements, including licensing, background checks, and government filings.
