Litigation Administrative Assistant

Insero Talent Solutions has partnered with a growing law firm in search of an Administrative Assistant to support attorneys within its Litigation and Family and Matrimonial Practice Group. This is an excellent opportunity for a seasoned legal administrative professional who thrives in a fast-paced environment and takes pride in precision, organization, and proactive support.
The ideal candidate will bring prior law firm experience, family and matrimonial litigation exposure, and the ability to manage multiple priorities while maintaining strict confidentiality. This role requires excellent communication skills, sound judgment, and a solutions-oriented mindset.
Responsibilities:
- Conduct client intake calls and coordinate scheduling for consultations, meetings, and appointments.
- Perform conflict checks and open new matters within the firm’s billing and case management systems.
- Manage attorney calendars, coordinate meetings, and maintain ongoing communication with clients.
- Prepare Retainer Agreements, Statements of Client Rights, and other client onboarding documentation.
- Scan, save, and maintain documents within the firm’s electronic document management system.
- Organize and maintain both physical and electronic client files, and electronically file legal documents through NYSCEF.
- Draft routine correspondence and assist with legal documentation.
- Assist in the preparation of pleadings and legal documents, including Summonses, Verified Complaints,
- Answers with Counterclaims, Statements of Net Worth, proposed orders, motions, and discovery materials.
- Coordinate and arrange for personal service of pleadings and other legal documents.
- Manage, organize, and maintain sensitive client financial records and documentation.
- Demonstrate strong initiative, problem-solving skills, and the ability to manage multiple priorities and deadlines effectively.
- Provide compassionate, patient, and professional support to clients throughout the legal process.
Requirements:
- 3+ years of legal administrative experience in a law firm environment.
- Experience supporting family and matrimonial law practices, preferred.
- Proficiency with Microsoft Office, NYSCEF, LexisNexis, and other legal research and government databases.
- Exceptional attention to detail and commitment to accuracy.
- Strong organizational and time-management skills with the ability to multitask.
- Excellent written and verbal communication skills.
- Ability to work independently while also contributing effectively within a team setting.
