    Job Description


    Job Overview:

    Our client is currently seeking a highly organized and detail-oriented Litigation Legal Administrative Assistant to join our team. The successful candidate will provide administrative support to our litigation attorneys and assist with the day-to-day operations of our legal department.

    Key Responsibilities:

    • Providing meticulous document formatting, proofreading, and editing of litigation documents for court filings (State and Federal)
    • Managing attorney calendars, scheduling hearings, calculating court deadlines, and calendaring depositions and discovery deadlines
    • Organizing exhibits, documents, evidence, briefs, and binders for hearings, trials, and meetings
    • Handling e-filing in Bay Area State Courts, Federal Courts, and Appellate Courts
    • Supporting client communications, travel coordination, timekeeping, and invoice processing for assigned attorneys

    Key Requirements

    • Minimum 7 years of litigation administrative assistant experience, with significant Federal Court experience
    • Strong knowledge of civil litigation calendaring, court filing, motions, discovery, and litigation documentation
    • Familiarity with Intellectual Property and class action litigation
    • Proficiency in Microsoft Word (formatting pleadings, TOC/TOA, redlining), Outlook, Excel, and PowerPoint
    • Highly self-motivated with ability to work independently and manage workload for multiple attorneys

    Role responsibilities Maintains client and administrative files Communicates with clients and other parties Greets and assists clients and visitors Provides meticulous document formatting Schedules and reserves dates for hearings Maintains attorney calendars Arranges court reporters Manages incoming mail process Organizes exhibits, documents, evidence, briefs, and appendices Monitors and assists attorneys with receivables Reviews and approves vendor invoices Coordinates attorneys' travel arrangements Keeps record of attorney's expenses Registers attorneys for events Assists with attorney timekeeping and invoice processing Backs up assigned team members.
