This individual will interact regularly with clients, outside counsel, and internal team members.The position follows a standard full-time schedule of approximately 37.5 hours per week, with occasional additional hours as needed.Key Responsibilities Prepare legal documents, pleadings, contracts, and correspondence from drafts or dictated textManage attorney calendars and assist with tracking deadlinesDocket court filing deadlines and scheduling ordersMaintain attorney time entries for billing purposesCoordinate travel arrangements, including flights, ground transportation, lodging, and itinerariesPerform general administrative tasks such as scheduling appointments, transcribing dictation, drafting correspondence, scanning documents, and routing mailAnswer and direct calls using a multi-line phone system in a professional mannerGreet and assist visitorsSupport client billing processes, including review and issuance of invoicesCoordinate conference room scheduling and setupMaintain and organize electronic and physical client files, including opening new matters and conducting conflict checksEnsure proper indexing and filing of legal documentsManage attorney contact databases and support business development efforts as neededPrepare closed files for off-site storageAdhere to firm policies and maintain strict confidentialityHandle additional administrative tasks as assignedQualifications Minimum of 5 years of experience as a legal secretary or administrative assistant in a law firm or legal departmentAssociate's degree or equivalent required; Bachelor's degree preferredExperience supporting litigation practices requiredStrong knowledge of state and federal Rules of Civil Procedure across multiple jurisdictionsExperience with state and federal court filings, including e‑filing systemsAdvanced proficiency in Microsoft Office Suite; familiarity with Adobe AcrobatExperience with legal billing and timekeeping systems preferredFamiliarity with electronic workflow systems is a plusExcellent communication, organizational, and time management skillsStrong interpersonal and client service skillsSelf‑motivated with the ability to anticipate needs and solve problems proactivelyAbility to manage multiple priorities in a fast‑paced environmentTeam‑oriented mindset with a collaborative approachCompensation & Benefits Our client offers a competitive compensation package, including a comprehensive benefits program with medical, dental, vision, retirement, life, and disability coverage, along with additional fringe benefits.Compensation will vary based on experience, qualifications, and geographic location.#J-18808-Ljbffr
