    Job Description

    The M-TRAM (Master of Science in Medicine, Translational Research and Applied Medicine) is an interdisciplinary graduate program within the Stanford School of Medicine that prepares future leaders in translational medicine by integrating biomedical science, clinical medicine, biotechnology, entrepreneurship, and innovation. The program partners with faculty, clinicians, industry leaders, and healthcare organizations to provide students with experiential learning opportunities, including clinical rotations, industry internships, faculty-mentored research, and team-based translational projects.

    Because M-TRAM is dedicated to translating scientific discoveries into improved patient care, we seek an individual who is inspired by biomedical research, medicine, healthcare innovation, and entrepreneurship. The ideal candidate will enjoy working in an intellectually stimulating environment with physician-scientists, engineers, entrepreneurs, faculty, industry leaders, and exceptionally motivated graduate students who are passionate about advancing healthcare.

    Reporting to the M-TRAM Executive Director, with a dotted-line relationship to the M-TRAM Faculty Director, the Operations & Program Administrator provides operational and administrative support for the day-to-day management of the M-TRAM program. Working closely with program leadership, faculty, students, and university partners, the incumbent coordinates program operations, student services, communications, events, and educational activities. Responsibilities include supporting admissions and onboarding, coordinating courses, seminars, clinical rotations, internships, and the annual symposium; maintaining student and alumni records and program databases; developing program communications and promotional materials; coordinating with multiple Stanford administrative offices; and supporting continuous program improvement through data collection, reporting, and process enhancement. The position requires excellent organizational, communication, and project management skills, as well as the ability to manage multiple priorities in a dynamic academic environment.

    This position is offered as a hybrid role (on-site at Stanford's main campus or 3180 Porter drive office three days per week and telecommuting two days per week), subject to operational needs. Please submit a resume and cover letter with your application.

    Duties include:

    • Coordinate the day-to-day operations of the M-TRAM graduate program.
    • Support admissions, onboarding, and student records management.
    • Coordinate courses, seminars, clinical rotations, internships, capstone projects (TRIP/TEAM), industry site visits, and the annual symposium.
    • Develop and distribute program communications, including newsletters, website updates, social media content, promotional materials, and presentations.
    • Maintain program databases, prepare reports, and support data collection and program assessment.
    • Collaborate with faculty, students, alumni, industry partners, and Stanford administrative offices to support program operations.
    • Coordinate special projects and implement operational improvements to enhance program effectiveness.

    Preferred:

    • Demonstrated interest or experience in biomedical sciences, medicine, healthcare innovation, biotechnology, or translational research through education, employment, or other professional activities.

    Core Duties:

    • Oversee, review and administer student records by analyzing data, counseling students and providing recommendations that require interpretation and influence decisions. Make exceptions on issues of eligibility, course enrollment and program requirements.

    • Develop recommendations and collaborate with staff, faculty and other offices to resolve programmatic issues within the school and across functional units, (such as strategizing to ensure optimal enrollment).

    • Provide advice to students on a range of issues, including, but not limited to, academic progress, academic program policies, career plans, accessibility, community standards, etc., to guide them in making appropriate choices and decisions.

    • Apprise students of research, fellowship and scholarship opportunities. Participate in related student recruitment and selection.

    • Provide first line response to identify students in crisis and refer to appropriate resources, as needed.

    • Collect and analyze data from multiple sources including student feedback, surveys, trend reports, and data analytics. Prepare and summarize reports and make recommendations to enhance offerings, such as programs and courses and to influence current processes and policies.

    • Develop, analyze, influence and review, policies, processes and programs by incorporating feedback and trend data learned from first-line interactions with students. Advise manager and team on policy updates and provide recommendation for implementation of changes.

    • Identify trends, perform needs analysis, and participate in the implementation and testing of new technology.

    • May develop marketing materials and strategies for program activities and outreach functions. Assist in planning and developing webinars, education fairs and other external functions.

    • May provide oversight with the administration of financial processes such as financial reimbursements, data entry, reviewing terms and conditions regarding contracts, understanding vendor requirements, and following up and resolving issues.

    • May train and supervise other staff, volunteers, student and temporary workers.

    Minimum Education and Experience:

    Bachelor's degree and two years of relevant experience, or combination of education and relevant experience.

    Knowledge, Skills and Abilities:

    • Strong written and verbal communication skills.

    • Basic computer skills, including experience with Microsoft Office Suite.

    • Basic analysis and problem solving skills.

    • Customer service skills.

    • Relevant computer systems/technology experience.

    • Understanding of financial transactions.

    • Ability to learn and understand compliance with legal, financial, and university policies and external regulations.
