The Mail Services Associate is responsible for supporting the daily operation of the mailroom and ensuring the accurate, timely, and secure handling of incoming and outgoing mail, packages, and courier deliveries.

This position provides hands-on operational support and works closely with the account leadership and workplace teams to maintain consistent service coverage, accurate tracking, and a positive experience for employees, visitors, and vendors.

Key Responsibilities

  • Receive, sort, and distribute incoming mail, packages, and deliveries.
  • Prepare and process outgoing shipments through approved carriers and courier services.
  • Maintain accurate tracking records for incoming and outgoing packages.
  • Notify recipients of deliveries and coordinate package pickup or delivery.
  • Obtain signatures and maintain chain-of-custody documentation when required.
  • Coordinate messenger, courier, and special delivery requests.
  • Verify shipping information, delivery details, and package counts before release.
  • Monitor shared mailroom requests and respond within established service expectations.
  • Maintain an organized, clean, and secure mailroom environment.
  • Track mailroom supplies and notify account leadership when replenishment is needed.
  • Support bulk mailings, employee onboarding packages, equipment returns, and special shipping requests.
  • Assist with invoice documentation, shipment records, and vendor coordination.
  • Escalate delivery discrepancies, damaged packages, missing items, or security concerns promptly.
  • Follow all client, CBRE, safety, security, and confidentiality procedures.
  • Provide backup support for workplace operations and other related services as needed.

Qualifications

  • High school diploma or equivalent required.
  • Previous experience in mailroom operations, shipping and receiving, workplace services, hospitality, or a similar customer-facing role preferred.
  • Familiarity with common shipping carriers and package-tracking systems preferred.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple requests and priorities in a fast-paced environment.
  • Strong verbal and written communication skills.
  • Professional, dependable, and service-oriented.
  • Comfortable using email, Microsoft Office, and basic workplace technology.
  • Ability to handle confidential or time-sensitive deliveries appropriately.

Physical Requirements

  • Ability to stand, walk, bend, and move throughout the workday.
  • Ability to lift, carry, and move packages weighing up to 50 pounds, with reasonable accommodation when required.
  • Ability to use carts, hand trucks, and other mailroom equipment safely.

Reporting Structure

The Mail Services Associate will receive day-to-day direction and management oversight from the existing account leadership team.

The minimum salary for the Mail Services Associate position is $43,000 annually and the maximum salary for the Mail Services Associate position is $51,500 annually.

The compensation that is offered to a successful candidate will depend on the candidate's skills, qualifications, and experience.
