Responsibilities:
  • Responsible for all departmental non-provider staff both clinical and non-clinical; Responsible for day to day operations including time and attendance, staffing and schedules, disciplinary concerns, new initiative roll out, compliance with required regulatory or contract standards, patient complaints, provider/staff complaints, metric monitoring
  • Works closely with the Director of operation to discuss any gaps in the day to day operations
  • Collaborates with other supervisory roles within the department such as leads, supervisors, coordinators, or Managers, Clinical operations related to the staff they supervise for assigning duties, training and competencies, workflow oversight, preparing evaluations, reviewing time off, timely submission of timekeeping documents, handing disciplinary issues
  • Primary resource to manage position postings, reclassifications, selection of new candidates, interviewing, and oversees all on-boarding processes for completion; monitors all training and education requirements for new and existing employees for compliance
  • Monitors scheduling and staffing levels to ensure appropriate coverage based on workload assignments are meeting the expectations and needs for patient care
  • Oversees all patient financial transaction interactions for compliance with policy and procedures
  • Oversees end of day reconciliation for timeliness and completion
  • Monitors patient utilization data, provider schedules, contract requirements, and all other provided monthly metrics for opportunities and gaps; implements action plans as required
  • Serves as primary contact for all provider day to day operational, patient care, and staff concerns; Reviews patient satisfaction data with all department staff and leads all efforts for initiatives for improvement; works closely with Revenue Cycle and Billing Compliance to ensure revenue cycle process/ requirements are met; Reviews denials, holds, and any non-coverage for opportunities for re-education and oversees action plans accordingly
  • Monitors telephone metrics and staff performance on a weekly basis
  • Collaborates with Clinical Leadership/ Regulatory/ Infection Control/ Safety resources to ensure the department is compliant with any requirements
  • Advocates for patient safety and serves as a Safety Manager for the department; Coordinates with any product or pharmacy representative in-services and lunches that support the patient care and provider needs
  • Collaborates with hospital multidisciplinary teams to represent the department on assigned meetings and projects
  • Maintains the call schedule coverage communication and serves as the department liaison with the answering service; Ensures compliance with applicable HIPAA, HCFA, TJC, OSHA, Safety, State Regulations, CLIA, Risk Management, Quality, and institution regulations in assigned areas
  • Assist with the creation and preparation of budgets; assists with monitoring financial expenditures and identifying and implementing cost effective approaches
  • Ensures the preparation and distribution of all metrics and reports regarding clinical metrics, satisfaction, payer specific reports, cost and utilization, denials, access, and safety
  • Reports directly to the director of practice operations
  • Completes all mandatory department, educational and hospital requirements
  • Adheres to current Infection Control and Safety Standards
  • Regular and prompt attendance
  • Ability to work schedule as defined and overtime as required
  • Related duties as assigned
Additional Information:

Employees must be in a regular position, working 20 hours or more per week (.50 FTE or greater) to qualify for benefits.

Qualifications:
  • Bachelor's Degree in business or a healthcare related field Required
  • Group practice experience Preferred
  • Directly related experience may sub on a year-for-year basis for the required education Preferred
  • Comparable combination of education and experience may substitute for the above requirements.
