Job Description

  • Kiddie Kabz Transportation is seeking an organized, creative, and dependable professional to manage company marketing, coordinate annual events, and provide executive and personal assistant support to the Founder & CEO.
  • This position is ideal for someone who takes initiative, follows through, and can manage multiple priorities independently. The CEO will provide overall direction and approve major decisions. You will turn those priorities into plans, manage the details, and provide clear updates so the CEO can oversee progress without handling every task.
  • Key Responsibilities
  • Marketing & Company Promotion
      • Develop and maintain a marketing calendar aligned with company goals, events, and community activities.
      • Manage company social media accounts, including creating content, scheduling posts, and responding to routine inquiries.
      • Create or coordinate flyers, invitations, newsletters, promotional materials, and company announcements.
      • Coordinate website content updates and work with outside designers or marketing vendors when needed.
      • Maintain consistent company branding across materials and communications.
      • Identify opportunities for community involvement, partnerships, sponsorships, and company visibility.
      • Track marketing activity and provide practical recommendations based on results.
      • Obtain required approvals before publishing photos, testimonials, or sensitive information, particularly content involving students.
  • Event Planning & Coordination
      • Manage planning and execution of annual company events, including holiday parties, employee celebrations, anniversary events, parade participation, and community activities.
      • Prepare event proposals outlining themes, venues, estimated costs, timelines, and staffing needs.
      • Research vendors, compare quotes, negotiate pricing, and present recommendations for approval.
      • Coordinate catering, entertainment, décor, photography, invitations, guest lists, RSVPs, seating, and transportation as needed.
      • Maintain event budgets and track deposits, payment deadlines, and expenses.
      • Manage event schedules, setup, vendor arrivals, on-site coordination, and cleanup.
      • Anticipate problems and resolve routine issues while keeping the CEO informed.
      • Prepare a post-event recap with final costs, results, and recommendations.
  • Executive & Personal Assistant Support
      • Manage appointments, calendars, meeting arrangements, reservations, and reminders.
      • Prepare correspondence, meeting materials, agendas, and summaries.
      • Track commitments and follow up with vendors, employees, and outside contacts.
      • Coordinate travel arrangements and itineraries as needed.
      • Assist with selected personal appointments, reservations, purchases, errands, and special projects for the CEO.
      • Organize receipts, documents, contact information, and records related to assigned work.
      • Handle confidential company and personal information with discretion.
      • Communicate professionally on behalf of the CEO within established authority.
  • Planning, Reporting & Follow-Through
      • Maintain a central calendar and task tracker for marketing, events, and executive support.
      • Provide a weekly written update showing completed work, upcoming deadlines, budget status, outstanding issues, and decisions requiring approval.
      • Meet regularly with the CEO to confirm priorities and review progress.
      • Bring forward solutions and recommendations when problems arise.
      • Obtain approval before signing contracts, committing funds, or making purchases beyond authorized limits.
      • Complete other related duties consistent with the role.
  • Qualifications
      • At least three years of relevant experience in event planning, marketing coordination, executive assistance, or a combination of these areas.
      • Demonstrated ability to manage projects or events from planning through completion.
      • Strong organizational skills and attention to detail.
      • Excellent written and verbal communication.
      • Experience coordinating vendors, comparing proposals, and tracking budgets.
      • Working knowledge of social media platforms and content creation.
      • Proficiency with Microsoft Office or Google Workspace, including calendars, documents, and spreadsheets.
      • Familiarity with Canva or similar design tools.
      • Ability to prioritize competing deadlines and work independently.
      • Professional judgment, discretion, and dependable follow-through.
      • Valid driver’s license and ability to travel locally for events, meetings, and assigned errands.
  • Preferred Qualifications
      • Experience supporting a business owner or senior executive.
      • Experience planning employee events, community events, or parades.
      • Familiarity with the Hamden and New Haven business and event community.
      • Experience maintaining website content, email campaigns, or basic marketing reports.
      • Associate’s or bachelor’s degree in marketing, communications, hospitality, business administration, or a related field; equivalent practical experience is welcome.
  • Schedule & Work Environment
  • This is a full-time position, generally 40 hours per week, primarily based at our North Haven office. Some evening and weekend availability is required for events and special projects. Work hours will be coordinated around event schedules and business needs.
  • The role includes office work, local travel, venue visits, errands, and on-site event coordination. The employee must be able to perform the essential functions of the position with or without reasonable accommodation.
  • What Success Looks Like
      • Events are organized, stay within approved budgets, and meet established deadlines.
      • Marketing materials and social media content are consistent, professional, and timely.
      • The CEO receives clear updates and has enough advance notice to make decisions.
      • Appointments, commitments, and follow-ups are handled reliably.
      • Assigned projects move forward independently, with appropriate approvals.
      • Confidential information is handled carefully and professionally
