    JOB DESCRIPTION

Provide specialist-level materials management support for Willow logistics and operations by independently managing material tracking, inventory accuracy, SAP and C2C data alignment, material status reporting, documentation, and issue resolution. The role supports material readiness from procurement and receipt through staging, transfer, handover, surplus, and closeout while ensuring compliance with materials management processes, internal control requirements, and cross-functional stakeholder needs.

Primary Responsibilities - Materials Management Execution

    • Independently support day-to-day materials management activities for Willow operations, logistics, maintenance, commissioning, procurement, and project execution.
    • Track material requests, receipts, transfers, staging, storage requirements, shortages, backhauls, surplus candidates, and open issues to support timely material availability.
    • Coordinate with logistics, warehouse, procurement, maintenance, commissioning, construction, install contractor, and project teams to support material readiness, handover, and issue resolution.
    • Verify available materials, field change needs, and material status before escalation or new procurement actions are initiated.
    • Support the movement, staging, return, surplus, and disposition of project and inventory materials in alignment with Willow materials processes.

    Inventory, Systems, and Data Management

    • Maintain accurate material records, including item descriptions, quantities, storage locations, material status, purchase order references, delivery documentation, C2C records, SAP records, and supporting files.
    • Perform data quality reviews and reconcile discrepancies between field information, warehouse records, contractor systems, procurement data, C2C, SAP, and reporting tools.
    • Support SAP material master, inventory, storage location, goods receipt, material movement, staging, surplus, and transaction-related activities as required.
    • Assist with inventory counts, discrepancy investigation, corrective actions, and documentation needed to support inventory accuracy.
    • Monitor material master, inventory, and planning data for completeness, consistency, and readiness for operational use.

    Reporting, Documentation, and Compliance

    • Prepare and maintain material status reports, material-on-hand reports, issue logs, action trackers, discrepancy logs, surplus listings, and readiness updates for supervisors and cross-functional stakeholders.
    • Collect, organize, and retain materials-related documentation to support traceability, custody transfer, audit readiness, inventory controls, and operational handover.
    • Support the development, use, and continuous improvement of Willow materials management procedures, trackers, reports, forms, and process controls.
    • Ensure materials management activities are documented in accordance with applicable Supply Chain, Finance, inventory, and internal control expectations.
    • Identify gaps in process documentation, data quality, or control execution and recommend practical improvements.

    Stakeholder Coordination and Issue Resolution

    • Serve as a knowledgeable point of contact for materials-related questions, status checks, data validation, documentation follow-up, and issue resolution.
    • Work directly with internal and contractor stakeholders to clarify requirements, resolve material discrepancies, and maintain alignment on priorities.
    • Escalate risks, constraints, shortages, data gaps, compliance concerns, and process issues to the appropriate functional leads with clear supporting information.
    • Promote timely communication, accountability, and follow-through across all assigned materials management activities.
    • Support coordination meetings, readiness reviews, and operational handover discussions by preparing accurate material status information and action updates.

    Required Skills and Experience

    • Experience in materials management, logistics, warehousing, procurement, maintenance, commissioning, construction, operations, or related asset-intensive environments.
    • Working knowledge of material tracking, receiving, staging, transfers, inventory control, surplus, backhaul, handover, and closeout processes.
    • Strong SAP materials management or inventory experience, including familiarity with material masters, storage locations, goods receipts, material movements, inventory records, and reporting.
    • Experience working with contractor material tracking systems, C2C, SharePoint, Excel, Teams, Outlook, and related reporting or dashboard tools preferred.
    • Strong analytical and data-quality skills, with the ability to identify discrepancies, validate records, reconcile information, and recommend corrective actions.
    • Strong organizational skills with the ability to manage multiple open items, track actions through closure, and communicate status clearly.
    • Ability to work independently as a specialist individual contributor while collaborating effectively with supervisors, leads, contractors, and cross-functional teams.
    • Understanding of inventory control, documentation retention, audit readiness, and process compliance expectations.
    • Ability to prepare clear reports, issue summaries, action trackers, and stakeholder updates.
