Job Overview

As a Medical Front Office Support team member, you will be the first point of contact for our patients and play a crucial role in ensuring smooth operations of our medical practice. This position requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced healthcare setting.

Key Responsibilities

  • Patient Reception and Check-in:
    • Greet patients warmly and professionally upon arrival
    • Verify patient information and update records as necessary
    • Collect and process patient co-payments and outstanding balances
    • Ensure completion of required forms and documentation
    • Direct patients to appropriate waiting areas
  • Appointment Scheduling and Management:
    • Schedule, reschedule, and cancel appointments using our practice management software
    • Manage and optimize provider schedules to maximize efficiency
    • Send appointment reminders and follow up with patients as needed
    • Handle patient inquiries regarding appointment availability and scheduling
  • Phone and Communication Management:
    • Answer incoming phone calls promptly and professionally
    • Triage calls and direct them to appropriate staff members or departments
    • Take accurate messages and ensure timely follow-up
    • Respond to patient inquiries and provide general information about our services
  • Insurance Verification and Billing Support:
    • Verify patient insurance coverage and benefits prior to appointments
    • Assist patients with understanding their insurance benefits and coverage
    • Collect and update insurance information in the patient management system
    • Support billing staff by providing necessary documentation and information
  • Medical Records Management:
    • Maintain accurate and up-to-date patient records in our electronic health record (EHR) system
    • Ensure proper filing and organization of medical records
    • Assist with medical records requests and releases, following HIPAA guidelines
    • Scan and upload documents to patient files as needed
  • Office Administration:
    • Maintain a clean and organized front office area
    • Manage office supplies inventory and place orders when necessary
    • Assist with preparing and distributing patient education materials
    • Support other administrative tasks as assigned by office management
