The Opportunity

This Medical Receptionist role is ideal for someone who enjoys being the hub of a busy medical office, takes pride in staying organized, and wants to build a long-term career in healthcare administration. You will be the first point of contact for patients and visitors, setting the tone for their overall experience.

In this position, you will own the daily flow of the front desk—from greeting patients and managing schedules to verifying insurance and handling payments—so that providers can focus on delivering excellent clinical care.


What You'll Do

  • Welcome patients and visitors with a professional, friendly demeanor and ensure they are checked in accurately and efficiently.
  • Manage a high volume of incoming phone calls, route inquiries appropriately, and provide clear, helpful information to patients.
  • Schedule, confirm, and adjust patient appointments to keep provider calendars full and the office running on time.
  • Register new patients, update existing records, verify insurance information, and obtain necessary documentation to prepare charts before visits.
  • Collect copayments, process payments, respond to basic billing questions, and maintain accurate front-desk financial records.
  • Maintain organized, compliant patient records and protect patient confidentiality in accordance with HIPAA and privacy regulations.
  • Handle incoming and outgoing correspondence, including emails, faxes, and mail, ensuring information reaches the right team members promptly.
  • Keep the reception and waiting areas clean, orderly, and welcoming throughout the day.
  • Complete administrative tasks such as filing, scanning, data entry, and record management to support efficient office operations.
  • Coordinate closely with physicians, nurses, and other staff to support timely, high-quality patient care and smooth daily workflows.

What Success Looks Like

  • Within the first 3 months, you confidently manage check-in, scheduling, and phone calls with minimal guidance, consistently creating a positive first impression for patients.
  • Patient appointments are scheduled accurately, with reduced no-shows and minimal double-bookings or errors in the calendar.
  • Insurance details, patient demographics, and payments are entered accurately, resulting in fewer billing issues and front-end corrections.
  • Front-desk processes, records, and correspondence are organized and compliant, contributing to shorter wait times and smoother visits for patients and providers.

What We're Looking For

  • High school diploma or equivalent, with prior experience in a receptionist, customer service, or healthcare office role preferred.
  • Comfort using electronic health records (EHR) systems, scheduling software, and basic Microsoft Office applications.
  • Strong organizational and multitasking abilities, with a calm, professional demeanor in a fast-paced environment.
  • Clear verbal and written communication skills, a patient-focused attitude, and a commitment to confidentiality and exceptional service.
