About the Role:
Ready to help shape the workplace experience for one of the world's leading financial institutions?
We're looking for an Occupancy Planner Associate to join our team in New York City, supporting a premier financial services client from their impressive headquarters location. This hybrid role offers the best of both worlds, with three days in the office and two days remote each week.
In this role, you'll help manage and optimize approximately 1.3 million square feet of office space across the client's headquarters campus, while also supporting a portfolio of smaller locations in key cities throughout the U.S. You'll partner with workplace, facilities, and project teams to ensure employees have the space and resources they need to do their best work.
If you enjoy analyzing data, solving workplace challenges, and influencing how office environments evolve to meet business needs, this is an excellent opportunity to make a visible impact. You'll assist with space planning, occupancy reporting, workplace analytics, and move management while helping drive strategic real estate decisions for a dynamic and fast-paced organization.
This role offers exposure to large-scale workplace planning initiatives, key business stakeholders, and a highly recognizable client portfolio.
What You'll Do:
Partner with stakeholders and the real estate team to understand business needs and develop space planning recommendations that enhance the workplace experience.
Assist in creating block and stack plans, move lists, and workplace strategies that support organizational growth and change.
Develop drawings, reports, and presentations that help drive informed real estate and occupancy decisions.
Collaborate with cross-functional teams to coordinate employee moves, relocations, and space changes while ensuring a seamless transition experience.
Participate in client meetings, capture key decisions, and help move projects forward by tracking approvals and action items.
Maintain accurate space and occupancy data within the client's system of record, ensuring information in the database aligns with on-site conditions.
Conduct floor audits and space walks to validate occupancy data, verify furniture and workstation layouts against floor plans, identify discrepancies, and support overall data integrity across the portfolio.
Analyze workplace metrics, identify trends, and support forecasting efforts to help optimize space utilization and inform future planning initiatives.
Engage directly with clients and business stakeholders to gather requirements and translate them into effective workplace solutions.
Partner with project management and architectural teams to support space planning initiatives, workplace redesigns, and compliance requirements.
Assist with post-occupancy evaluations and continuous improvement efforts to enhance the employee experience.
Manage multiple priorities in a fast-paced environment while delivering high-quality work and meeting established timelines.
Build strong working relationships through clear communication, collaboration, and a customer-focused approach.
What You'll Need:
Bachelor's degree in Interior Design, Architecture, Space Planning, Facilities Management, or a related field preferred.
Up to 2 years of experience in occupancy planning, space planning, workplace strategy, commercial interiors, or a related discipline.
Commercial interior design experience preferred.
Proficiency in AutoCAD required, including the ability to review and update floor plans, conduct test fits, and support space planning initiatives.
Experience performing test fits, space planning analyses, and workplace layout evaluations within an office environment.
Working knowledge of building codes and regulations; experience applying code requirements to workplace planning projects is a plus.
Strong analytical skills with the ability to interpret data, identify trends, and make informed recommendations.
Experience maintaining accurate space and occupancy data and ensuring system records align with on-site conditions.
Strong proficiency in Microsoft Office Suite, particularly Excel and PowerPoint.
Highly organized with strong attention to detail, initiative, and an inquisitive mindset.
Excellent communication and interpersonal skills with the ability to collaborate effectively across teams and client groups.
A positive attitude, strong work ethic, and a willingness to learn and grow in a fast-paced environment.
Ability to work independently while also contributing as an engaged team member.
Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future.
