Job Summary

As an Office Administrator, you'll be responsible for supporting daily branch operations through a wide range of administrative tasks. This role ensures smooth office functionality and compliance with internal and external requirements while maintaining strong communication across teams.

Key Responsibilities

  • Accurately maintain and input data in internal systems related to inventory tracking and purchase order platforms.
  • Support invoicing, accounts payable/receivable, and lump-sum billing tracking to ensure timely and accurate financial processing.
  • Coordinate meetings, prepare agendas, record minutes, and track action items to support team efficiency and follow-through.
  • Monitor safety documentation to ensure alignment with BrandSafway safety standards and compliance requirements.
  • Track packages and ensure the secure, timely distribution of materials, including employee paychecks.
  • Perform general administrative duties required by the region.

Requirements

  • High school diploma or equivalent.
  • At least 2 years of experience in office administration or a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational and multitasking skills with exceptional attention to detail.
  • Effective written and verbal communication skills.
  • Ability to manage confidential information with professionalism and discretion.

Preferences

  • Associate's or bachelor's degree.
  • Experience in the construction or industrial services industry.
  • Familiarity with office management tools and systems (e.g., Salesforce).
  • Knowledge of basic accounting principles and experience with invoicing or financial processes.
