We are seeking an energetic and highly organized Office Administrator to join our team! In this vital role, you will be the heartbeat of our Uptown Dallas operations fostering a productive and welcoming environment. Your energy and attention to detail will drive vendor relations and administrative support for a busy office. This position is based in our Uptown Dallas, you will also assist a Brokerage Team with several of their current SHOP Tenant Representation clients to ensure their team’s success through managing the day-to-day workload, and creating and updating marketing materials. **This role reports to the office 5-days per week.  Kindly consider prior to submitting an application for the role.  

Responsibilities (include but are not limited to):

Office Administrative duties - 75%

  • Tend to all reception desk duties, by greeting and assisting onsite guests and answering inbound telephone calls.
  • Professional and friendly first point of contact for visitors, vendors, and the entire team.
  • Maintain conference room meeting schedule, including morning set-up of each conference room.
  • Daily receive and distribute mail and packages.
  • Keep the kitchen, coffee bar, and snack stations fully stocked.
  • Coordinate mail, FedEx packages, and other deliveries as needed.
  • Weekly ordering and stocking of office supplies & office snacks within monthly budget.
  • Assist in planning once a week breakfast for company-wide meeting and monthly luncheon for entire office. Also assist in any off-site company sponsored events for the office when needed.
  • Help to maintain a clean, organized, and inviting workspace.
  • Perform all other office tasks as necessary.

Broker Administrative duties - 25%

  • Prepare, organize, and assemble all client tour books
  • Assist with placing order for aerials/maps
  • Prepare & organize presentations and/or meeting materials & pitches
  • Pull demographic information from database and organize into presentation form
  • Coordinate and book all work related travel & prepare reimbursement requests
  • Design all property leasing flyers
  • Update and manage all property site plans
  • Design and order leasing signs for team
  • Update and add properties & tenants on SHOP website 
  • Assist with creating and editing aerials when necessary
Experience Requirements:
  • Team oriented approach
  • Excellent written and verbal communication skills
  • Strong attention to detail and ability to prioritize
  • Strong organizational skills
  • Adobe Creative Cloud (Photoshop, InDesign, Illustrator) a plus
  • Ability to frequently operate computer and office equipment, and remain stationary or move around for long periods
  • Handle paperwork, and/or push/pull boxes as necessary
  • May occasionally carry files, reach, kneel, bend crouch/squat, and/or twist
  • Team oriented approach
