Description
A well-established hospitality and event services organization is seeking an Office Administrator/ Event Planner to support daily operations in a fast-paced, client-focused environment. This role reports directly to senior leadership and works closely with both the culinary and sales teams to ensure smooth coordination across all event and office functions.
Location: Hyde Park, MA
Schedule: MondayâFriday, 7:00 AM â 4:00 PM (fully on-site)
Parking: Available on-site
Position Overview:
The Office Administrator will play a key role in supporting day-to-day office operations, acting as the front-facing point of contact while also managing critical event documentation and internal communications. This individual will help ensure alignment across departments by organizing and distributing Banquet Event Orders (BEOs), maintaining event details, and supporting leadership with administrative needs.
Key Responsibilities:
Manage front desk operations, including greeting guests and handling phone/email communications
Coordinate and distribute BEOs (Banquet Event Orders) and event-related documentation
Create and update event details, menus, and client-facing materials
Run and support BEO and kitchen meetings; attend daily operations meetings
Maintain organization of office operations, files, and reports
Partner with sales and kitchen teams to ensure accurate execution of events
Support leadership with scheduling, reporting, and administrative tasks
Utilize catering software to manage event logistics and updates
Qualifications:
Experience as an Office Administrator, Office Manager, or Executive Assistant (hospitality or catering preferred)
Strong proficiency in Microsoft Excel, Canva, and PowerPoint (Adobe tools a plus)
Experience with BEOs required
Familiarity with Total Party Planner (or similar catering software) highly preferred
Excellent organizational skills and attention to detail
Ability to multitask and thrive in a fast-paced, team-oriented environment
