Office Manager 

Reports to: Chief Operating Officer

The Office Manager is an exempt, full-time member of MCEDC’s business operations team. Reporting to the COO, this role helps ensure an organized, professional, and efficient workplace by coordinating office administration, facilities, vendors, meeting logistics, financial processes, and employee support. The ideal candidate is proactive, highly organized, service-oriented, and comfortable managing multiple priorities in a collaborative, fast-paced environment.

Key Responsibilities


Office Administration & Reception

•  Serve as the primary point of contact for visitors, callers, deliveries, and general office inquiries.

•  Maintain a welcoming and professional reception area.

•  Manage incoming and outgoing mail and office correspondence.

•  Maintain shared calendars and coordinate conference room reservations.

•  Respond to routine administrative requests from staff.

•  Maintain organized physical and electronic files and support improvements to document-management practices.

Facilities, Technology & Vendors

•  Monitor and order office supplies, kitchen inventory, furniture, and equipment.

•  Coordinate routine purchasing and maintain records of office-related expenses.

•  Serve as the primary contact for the landlord, building management, subtenants, and cleaning services.

•  Coordinate vendor services, repairs, and invoice processing.

•  Maintain an inventory of computers, phones, audiovisual equipment, and other technology assets.

•  Coordinate basic technology troubleshooting and service requests with the IT provider.

•  Coordinate workstation changes, office moves, renovations, and furnishing needs.

•  Support office safety, security, and continuity procedures.

Meeting & Executive Support

•  Coordinate meeting schedules, room reservations, and calendar invitations.

•  Arrange meeting-room setup, catering, materials, and guest reception.

•  Test and troubleshoot audiovisual technology before and during meetings.

•  Assist the COO with all-staff meetings and operational projects as needed.

•  Maintain records and track deadlines for agreements, business insurance policy renewals, and required registrations; this responsibility excludes employee medical insurance and benefits.

•  Provide backup support to the Executive Assistant during absences or high-volume periods.

•  Support administrative continuity for the CEO and Board, as needed.

•  Support strategic partnerships with chambers, county offices, and other external stakeholders, as directed by the COO.

Finance, Human Resources & Team Support

•  Serve with the COO as an internal liaison to the external accounting firm.

•  Coordinate invoices, payments, banking documentation, and expense reports as needed.

•  Maintain financial files and assist with routine accounts payable and receivable activities as needed.

•  Support HR activities such as performing background checks and other administrative steps for new employees.

•  Arrange technology, equipment, and workspace setup for new hires.

•  Support employee offboarding and the return of organizational equipment and materials.

•  Maintain staff contact directories and operational records for telephone number assignments, IT equipment, and building access cards; coordinate issuance, updates, and return of access cards.

•  Coordinate staff engagement activities, recognition activities, and team events.

•  Support other initiatives that contribute to a positive and connected workplace.

•  Perform other administrative and operational duties as assigned.

Required Qualifications

•  At least five years of progressively responsible experience in office management, administration, operations, executive support, or a related field.

•  Demonstrated ability to manage competing priorities, anticipate needs, follow through on details, and handle sensitive information with discretion.

•  Strong written and verbal communication skills and a consistently professional, service-oriented approach with staff, visitors, vendors, and external partners.

•  Proficiency with Microsoft 365 applications and confidence learning and using office, collaboration, records-management, and financial systems.

•  Experience coordinating facilities, vendors, meetings, purchasing, invoices, records, and basic technology support.

•  Sound judgment, initiative, problem-solving ability, and comfort working independently and collaboratively in a fast-paced environment.

Preferred Qualifications

•  Experience in a nonprofit, public-private, entrepreneurial, or mission-driven organization.

•  Experience supporting senior executives or a board of directors.

•  Familiarity with accounts payable and receivable workflows, HR administration, and vendor or contract tracking.

•  Associate or bachelor’s degree in business administration, operations, or a related field, or an equivalent combination of education and experience.

•  Position may require moderate lifting of supplies and materials from time to time

•  The working environment is a general office environment with a moderate noise level
