Description

Position Summary The Office Manager provides high-level administrative and operational support to the CEO, CFO and a small team. This role is responsible for providing administrative and operational support, managing schedules, coordinating travel and events, maintaining office supplies, supporting special projects, and ensuring day-to-day administrative operations run smoothly.

The ideal candidate is highly organized, proactive, detail-oriented, and capable of managing multiple priorities while maintaining professionalism and confidentiality.

Essential Duties and Responsibilities

Manage and coordinate the CEO and CFO's calendars, meetings, and appointments.

Schedule internal and external meetings and ensure all necessary materials are prepared.

Arrange domestic and international travel, including flights, hotels, transportation, and itineraries.

Order and maintain office supplies and equipment.

Plan and coordinate company meetings, team events, employee recognition activities, and leadership off sites.

Manage event logistics including venues, catering, materials, technology needs, and communications.

Provide administrative support to a small team, including scheduling, document preparation, meeting coordination, light accounting, and follow-up activities.

Assist with employee onboarding and offboarding logistics and employee recognition programs.

Serve as the contact for facilities related requests.

Handle incoming and outgoing mail, shipping requests and other related work.

Support cross-functional initiatives and departmental projects.

Qualifications

Required

High school diploma or equivalent.

3+ years of administrative, executive assistant, office management, or related experience.

Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.

Strong organizational and time management skills.

Excellent written and verbal communication skills.

Ability to handle confidential information with discretion.

Strong attention to detail and follow-through.

Physical Requirements

Ability to sit, stand, and work at a computer for extended periods.

Ability to occasionally lift and move office supplies and materials up to 25 pounds.
