    Office Manager for Home Care Agency in New Jersey

    Location: Westfield Location

    organized and dynamic Office Manager to join our team and help us achieve our mission.

    JOB SUMMARY:

    The Office Manager will oversee the daily operations of the agency, ensuring that administrative tasks are

    executed efficiently and effectively. The ideal candidate will have a strong background in office

    management, excellent communication skills, and a passion for providing exceptional service in the home

    care industry.

    ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIES:

    1. Manage day-to-day office operations, including scheduling, and client management.

    2. Supervise and support administrative staff, fostering a collaborative work environment.

    3. Maintain accurate client records and ensure compliance with state and federal regulations.

    Coordinate staff schedules and oversee the recruitment and onboarding of new employees.

    Implement and maintain office policies and procedures to improve operational efficiency.

    4. Handle inquiries from clients, families, and staff, addressing concerns and providing

    solutions.

    5. Collaborate with healthcare professionals to ensure high-quality care delivery.

    6. Tracks admission, discharge, case conferences, certification and re-certification dates on all

    patients.

    7. Responsible for assisting with audits of patient information.

    8. Maintains accurate mailing lists of employees, patients, Medical Directors, physicians and

    contractors and forwards any changes to the Corporate Office.

    9. Performs other necessary functions/duties as assigned by the Program Director and/or

    Administrator.

    10. Assist in marketing efforts and community outreach program, i.e., health fairs, conventions,

    community education programs, etc. as assigned by Program Director, Director of Clinical

    Services and/or Administrator.

    11. Oversee payroll processing, ensuring timely and accurate compensation for staff.

    POSITION QUALIFICATIONS:

    1. Bachelor’s degree in Business Administration, Healthcare Management, or a related field

    preferred.

    2. Proven experience as an Office Manager or in a similar administrative role, preferably in the

    healthcare or home care industry.

    3. Strong knowledge of office management procedures and best practices.

    4. Excellent organizational and multitasking skills, with a keen attention to detail.

    5. Ability to establish and maintain effective working relationships.

    6. Ability to meet the public and staff as a positive, friendly and professional representative of

    the agency.

    7. Proficient in Microsoft Office Suite and office management software.

    8. Exceptional interpersonal and communication skills, both written and verbal.

    9. Ability to maintain confidentiality and handle sensitive information with discretion.

    10. Knowledge of home care regulations and compliance preferred.
