Mon-Fri, Shift can be: 7-3:30pm , 7:30-4pm , 8-4:30pm

Overview

We are seeking an On-Site Services Specialist to support daily mail, copy, scanning, shipping, and receiving operations in a fast-paced office environment. This role involves regular customer interaction, operating office equipment, processing mail and packages, maintaining supplies, and providing excellent customer service. The ideal candidate is personable, detail-oriented, organized, dependable, and willing to learn new processes.

Responsibilities

• Provide front counter customer service and respond to phone calls and emails.
• Sort, prepare, scan, distribute, and process incoming and outgoing mail, packages, and fax transmissions.
• Operate high-volume copiers, document imaging systems, document management software, and related office equipment.
• Perform copying, binding, finishing, filing, document management, and archiving tasks.
• Open, save, transfer, and retrieve electronic files using established procedures.
• Maintain office and mailroom supply inventory, fulfill supply requests, and restock supplies throughout the facility.
• Perform daily equipment inspections, clear paper jams, and report equipment issues as needed.
• Maintain service logs, billing logs, meter readings, and inventory records.
• Deliver completed work to designated customer locations and answer questions regarding job requests.
• Perform shipping and receiving duties, including processing packages weighing up to 50 pounds.
• Occasionally assist with the loading dock, meeting room setup, building support, light maintenance, housekeeping, or occupant moves as assigned.
• Use bindery and mailroom equipment, including paper cutters, hole drills, shrink-wrap machines, postage meters, calculators, scanners, copiers, and related equipment.
• Perform other assigned duties and occasional overtime, including evenings or weekends, when required.

Requirements

• High school diploma or GED.
• 1 2 years of related office services, mailroom, copy center, or customer service experience preferred.
• Previous copy center experience is preferred.
• Valid driver's license may be required.
• Strong customer service, communication, and organizational skills.
• Basic PC skills, including Microsoft Office and email.
• Mathematical, filing, and recordkeeping skills.
• Ability to prioritize tasks, work accurately, and maintain attention to detail.
• Ability to operate office equipment, copiers, scanners, mail processing equipment, and document management systems.
• Ability to lift and move up to 50 55 pounds, stand, walk, bend, reach, stretch, and perform other physical activities throughout the workday.
• Ability to work in a fast-paced office environment and travel between buildings if required.
