The Operations Assistant plays a vital role in keeping our pillow manufacturing facility running smoothly, safely, and efficiently. In this role, you will bridge the gap between administrative support and floor operations, handling tasks that range from tracking raw material inventory (foam, fiber, fabrics) to scheduling shipments and updating production logs. The ideal candidate is highly organized, possesses strong communication skills, and thrives in a fast-paced, physical manufacturing environment. Responsibilities Production & Administrative Support
Maintain production logs. Track daily output metrics, machine downtime, and labor hours.
Generate manufacturing orders. Prepare and distribute daily work tickets to production lines.
Coordinate shipping and receiving. Prepare packing slips, schedule freight pickups, and verify incoming raw materials.
Assist with billing. Cross-reference purchase orders with delivery receipts for the finance team.
Other general clerical duties as assigned.
Inventory & Quality Control
Track inventory levels. Conduct routine physical counts of fabric rolls, filling materials, and packaging.
Monitor material waste. Record scrap rates and report discrepancies to the Operations Manager.
Enforce quality standards. Ensure finished pillows meet weight, stitching, and packaging specifications before staging for shipment.
Floor Coordination & Safety
Facilitate team communication. Act as the main point of contact between floor supervisors and upper management.
Promote workplace safety. Ensure compliance with OSHA standards and report any safety hazards immediately.
Organize facility layouts. Assist in optimizing floor space for incoming inventory and outbound shipments.
Qualifications & Skills
Experience: 1–3 years of experience in a manufacturing, warehouse, or industrial operational support role preferred.
Education: High school diploma or GED required; Associate’s or Bachelor’s degree preferred.
Software Skills: Proficiency with Microsoft Office (Excel, Word), Googles docs, and exposure to ERP (such as Sage, Quickbooks, Wasp or inventory management systems).
Physical Stamina: Ability to stand and walk on the manufacturing floor for extended periods and lift up to 20 lbs.
Core Competencies: Strong attention to detail, excellent time management, and the ability to multitask and pivot priorities quickly.
