The Opportunity:

Tetra Tech is adding a highly organized, proactive, and detail-oriented Operations / Administrative Assistant to support the Denver and Southwest Operations Teams. This position provides a combination of administrative, operational, and project support to ensure efficient office operations and exceptional support to managers, project teams, and staff.

The successful candidate will assist with onboarding, meeting coordination, operational tracking, procurement, communications, and general office administration while working collaboratively with multidisciplinary teams across the Southwest region.

This position offers flexibility with hybrid, remote, or in-office work arrangements. As business needs arise, the selected candidate may be asked to report to a local office to support mailings, production efforts, meetings, or other operational activities.

Essential Job Functions:

B Administrative & Operations Support

  • Provide administrative and operational support to the Denver and Southwest Operations Teams.
  • Maintain operational records, tracking spreadsheets, organizational charts, and staff directories.
  • Coordinate daily administrative activities to support efficient office operations.
  • Assist with document preparation, reproduction, filing, and mail distribution.
  • Maintain electronic and hard-copy records in accordance with company procedures.

Onboarding & Team Coordination

  • Coordinate new hire onboarding and orientation activities following established procedures.
  • Assist with employee onboarding documentation and logistics.
  • Schedule meetings and coordinate calendars for operations staff.
  • Prepare meeting agendas, capture meeting notes, summarize action items, and distribute follow-up communications.
  • Coordinate travel arrangements, hotel accommodations, meeting venues, and restaurant reservations as needed.

Project & Financial Support

  • Assist with invoice processing, procurement requests, expense reports, subcontract documentation, and operational tracking.
  • Support project managers and operations leadership with administrative project tasks.
  • Maintain project tracking logs and assist with routine reporting activities.
  • Provide general administrative support for project execution and operational initiatives.

Communications & Office Support

  • Assist with drafting internal newsletters, announcements, and team communications.
  • Maintain distribution lists and internal contact information.
  • Support document formatting and production efforts.
  • Provide exceptional customer service to internal and external stakeholders.
  • Conduct activities in line with internal procedures, legislation, and industry standards.
  • Pursue continuous professional development and maintain a high degree of discipline knowledge and awareness.
  • Work in a safe manner at all times and report all health and safety incidents and concerns.
  • Perform additional administrative and operational duties as assigned.

Required Qualifications:

  • High School Diploma or GED required; Associate's or Bachelor's degree preferred.
  • 3-5 years of administrative, operations, project support, or office management experience.
  • Strong proficiency with Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint, and Microsoft Teams.
  • Excellent organizational, time management, and multitasking skills.
  • Strong attention to detail and commitment to producing high-quality work.
  • Excellent written and verbal communication skills.
  • Ability to prioritize multiple assignments in a fast-paced environment.
  • Ability to work independently while collaborating effectively within a team environment.
  • Professional, customer-focused attitude with strong interpersonal skills.
  • Must possess a valid driver's license with a clean driving record without restrictions.

Preferred Qualifications:

  • Experience supporting engineering, environmental consulting, construction, or professional services organizations.
  • Experience with onboarding coordination and employee support.
  • Experience processing invoices, expense reports, procurement requests, or subcontract documentation.
  • Experience supporting multiple managers or geographically dispersed teams.
  • Experience with Oracle, Deltek, SharePoint, or similar business systems is a plus.

Physical Demands & Work Environment:

  • Primarily office-based work with hybrid and remote flexibility.
  • Ability to work at a computer for extended periods.
  • Occasional travel to a local office for meetings, mailings, production support, or operational activities.
  • Ability to occasionally lift and move office materials weighing up to 25 pounds.

Compensation:

Pay commensurate with experience.

Pay Range: $30.50-$36.00 hourly
