Overview
The mission of Mental Health America of Ohio (MHAOhio) is to transform how people think about mental illness, make it easier to get help, and give people the support they need to get better and stay better. The Operations & Finance Manager is responsible for managing many of the organization's core operational and financial processes that support MHAOhio's mission. This position coordinates financial administration, grant financial management, operational systems, governance administration, technology, and organizational processes.
The Operations & Finance Manager serves as a cross-functional partner throughout the organization, ensuring day-to-day operations are organized, efficient, compliant, and well-coordinated while implementing priorities established by agency leadership.
Schedule and Supervision
Work hours are generally 8:30 am - 5:00 pm Monday through Friday, flexible based on work demands and in consultation with supervisor, full-time exempt position. Additional activity outside of business hours as needed. This position offers a hybrid work model combining remote and in-office responsibilities. This position reports directly to the Senior Finance Director and receives direction from the Senior Director of Workplace Health and Executive Director for assigned areas of responsibility.
Finance, Grant Management & Compliance
- Manage grant financial administration, including grant budgets, financial reporting, compliance monitoring, documentation, and recordkeeping
- Monitor grant expenditures and labor allocations to ensure compliance with funder requirements and approved budgets
- Prepare financial documentation and supporting schedules for grant reports, audits, budget modifications, and funding applications
- Support monthly financial operations, including reconciliations, financial reporting, maintenance of financial records, and annual audit preparation
- Coordinate and assist with the development of the agency's annual operating budget, grant budgets, financial forecasting, and continuous improvement of financial processes and internal controls
- Manage the agency's timekeeping processes and systems, ensuring accurate employee setup, timely submission and approval of timesheets, and coordination with finance for payroll and labor allocation
- Coordinate organizational reporting and compliance activities, including Ohio Department of Behavioral Health certification requirements
- Coordinate data collection, outcome measurement, surveys, and reporting to support funder requirements and organizational improvement
- Manage records and document retention to ensure information is organized, accessible, appropriately maintained, and available to support agency operations, audits, or other needs
Operations & Organizational Administration
- Manage the agency's Strategic Plan tracking and implementation documentation
- Coordinate development and maintenance of agency policies, procedures, and operational resources
- Administer organization-wide systems supporting onboarding, offboarding, equipment tracking, and other operational processes
- Provide operational support for initiatives or projects assigned by senior leadership
- Assist with the Staff Connection Committee operations and support other assigned employee engagement initiatives
- Facilitate the agency's quality improvement process by partnering with departments to review and strengthen outcome tracking, reporting, and performance
Governance & Board Administration
- Coordinate administrative support for the Board of Trustees in partnership with the Executive Director
- Manage board governance records, document libraries, committee materials, and other documentation
- Coordinate trustee onboarding, orientation materials, and board resources
- Prepare, organize, and distribute board and committee meeting materials
- Maintain board calendars, committee assignments, board terms, and governance records
- Coordinate administrative activities supporting board and committee operations
Technology & Business Systems
- Serve as the primary liaison with the agency's managed IT provider and technology vendors
- Manage administration of organizational technology platforms, including Microsoft 365, Zoom, and other business systems
- Coordinate technology onboarding, user access, equipment inventory, and technology lifecycle planning
- Manage relationships with technology and other assigned vendors
- Coordinate implementation and staff training for approved technology solutions
Other Responsibilities
- Participate in agency events, meetings, trainings, and activities
- Other duties, within reason and scope of the position's primary responsibilities, may be assigned after consultation between employee and supervisor
Qualifications
Required:
- Bachelor's Degree in a related field
- Three years of experience in finance, operations, nonprofit administration, project management, or a related field
- Proficiency with Microsoft 365 applications, macOS and business technology
- General understanding of core accounting concepts or principles, knowledge or experience
- Strengths in project management, continuous improvement, and ongoing professional development
- Experience coordinating multiple projects and priorities simultaneously
- Ability to work effectively with diverse people and communities
- Strong organizational, analytical, and problem-solving skills
- Excellent written and verbal communication skills
- Ability to work independently while collaborating effectively across departments
- Ability to maintain confidentiality and exercise sound judgment
Preferred:
- Experience in nonprofit finance or nonprofit operations
- Experience with QuickBooks
- Experience administering SharePoint or Microsoft 365
- Experience supporting nonprofit governance or Boards of Trustees
- Experience with grant financial management
- Experience in behavioral health
Salary range
$48,000-$55,000 annually. Starting salary will be determined based on the candidate's relevant experience, education and training, and demonstrated qualifications related to the position's responsibilities
