The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University''s good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the Associate Director of Finance and Operations, the incumbent will oversee financial management for the Department of Industrial Engineering and Operations (IEOR), including department expenditures and day-to-day financial and operational activities. The incumbent will manage the full hiring and appointment process for student casual employees; develop and implement best practices and standardized processes for casual hiring in collaboration with other SEAS departments and University partners; review, approve, and process timesheets and related reports for finance interns, student instructional workers, tutors, ambassadors, and other casual employees; maintain and communicate department policies, procedures, and operational guidelines; ensure accurate documentation and records are maintained to support audits and record-retention requirements; prepare, monitor, and analyze departmental financial reports; and coordinate periodic IEOR departmental marketing materials and related operational activities.

Responsibilities

Human Resource responsibilities (65%):

  • Manage all aspects of casual appointments, including Course Assistants (CA), Teaching Assistants (TA), Researchers, and Interns.
  • Facilitate seamless onboarding experiences for new hires, ensuring all necessary documentation is complete and submitted to the HR hiring system.
  • Manage and track the hiring status for casual hires.
  • Creating and manage Docusign templates.
  • Conduct CA/TA training sessions.
  • Collaborate with academic team, IEOR faculty, and CA/TA's on appointments and responsibilities.
  • Advise casuals on inquiries related to casual hire process.
  • Responsible for approving timesheets for casual hires.

Financial responsibilities (10%):

  • Partner with other departments and university entities to ensure compliance with financial policies and procedures.
  • Communicate financial policies and guidance to staff and faculty.
  • Maintain accurate documentation to support auditing and record retention requirements.
  • Prepare, review monitor financial reports on a regular basis.

Publication responsibilities (20%):

  • Manage, design, and produce departmental marketing newsletters and publications.
  • Update and produce staff/faculty roster and event posters.
  • Manage social media posts for department announcements.
  • Manage periodic marketing materials for the IEOR Department.

Administrative and Events Operations (5%):

  • Provide on-site support for departmental events, programs, and initiatives as needed
  • Perform other duties as assigned.

Minimum Qualifications

A bachelor's degree and a minimum of 2-4 years of related operations and/or human resources experience required.

Must be able to learn university electronic processing systems quickly. Experience with university electronic systems (payroll and hr) and databases is strongly desirable.

Rigorous attention to detail and accuracy is essential; managing multiple priorities with poise and discretion is required.

Strong computer literacy/proficiency required: an understanding and appreciation of higher education applications, and on-line resources, and the willingness to respond to the needs of faculty, staff, and students in a technologically-oriented society. Proficiency with Google suite of products, MS Office (Word,Excel,etc.), and publishing software, is a must.

Ability to work independently and under pressure, with a high level of attention to detail. Must be able to prioritize multiple tasks with minimal supervision.

Candidate must exercise good judgment and flexibility, with a student-wellness mindset. Positive, mission-oriented, forward-thinking attitude and sense of humor a must.

Must be able to communicate effectively and tactfully with staff, faculty, students, employers, and alumni. Excellent command of English (verbal and written).
