About the Role We are seeking an organized, proactive Operations & Sales Administrator to support our Sales, Operations, and Branch Leadership teams.
This role owns many of the non-revenue-producing administrative responsibilities that keep the branch running smoothly. By managing customer information, contracts, work orders, purchasing, fleet records, and other recurring processes, this position allows Account Executives to focus on client growth and Operations leaders to focus on service quality, team productivity, and execution.
Success in this role comes from strong follow-through, attention to detail, effective communication, and the ability to manage multiple priorities without letting important tasks fall through the cracks.
What You Will Do
Support the sales team with administrative needs throughout the customer lifecycle Complete required RFP documentation and assist with contract renewals Respond to administrative customer requests, including billing updates, site contacts, access requirements, and contract copies Screen inbound sales leads, verify customer information, and route qualified opportunities to the appropriate Account Executive Prepare account handoff information and new-client welcome communications Identify potential network and multi-location account opportunities Partner with Accounts Receivable to help resolve invoicing issues Close completed customer service and replacement work orders Organize and group work orders by ZIP code to support more efficient scheduling Help coordinate customer service work orders, replacement work orders, and care calls Maintain Neat Truck documentation and process receiving or credit requests Track overtime payroll records and assist with recurring administrative processing Set up purchase orders and support local purchasing, inventory, and pricing needs Assist with new-account setup and verify that required customer paperwork is complete Coordinate customer badging and site-access requirements Maintain fleet and company vehicle records Create purchase orders for vehicle rentals and tolls Schedule vehicle maintenance and body work Provide additional administrative support to branch leadership as needed

What We're Looking For
Experience in administrative support, sales administration, operations coordination, office management, or a similar role Strong organizational skills and attention to detail Ability to manage multiple priorities, deadlines, and requests from different teams Consistent follow-through and a strong sense of ownership Clear and professional written and verbal communication Comfortable communicating with customers and internal team members Ability to learn new systems, processes, and terminology Strong computer skills and confidence working with customer records and administrative systems Experience with a CRM, work-order system, payroll platform, or purchasing process is a plus Ability to recognize missing or inaccurate information and take action to resolve it A service-minded approach and willingness to step in where support is needed Comfortable working independently while staying connected to a broader team

Compensation

What Success Looks Like
First 30 days: Core systems and processes learned, initial Account Executive shadowing completed, and sales and operations administrative tasks underway First 90 days: Customer records, contracts, work orders, purchase orders, and fleet responsibilities handled accurately with consistent follow-through First 180 days: Administrative processes are running smoothly, customer requests receive timely responses, work orders are closed consistently, and Sales and Operations leaders have more time to focus on revenue, service quality, and team performance
