Operations & Project Coordinator

TempExperts is seeking an experienced Operations & Project Coordinator for a growing professional services organization in Tampa, FL. This is a highly visible position responsible for coordinating office operations, supporting project teams, managing financial and administrative processes, and ensuring projects remain organized from initiation through completion.

Responsibilities
  • Coordinate daily office operations and administrative activities.
  • Develop, organize, and maintain electronic and physical filing systems.
  • Create and maintain standard operating procedures and administrative documentation.
  • Support project managers with project tracking, documentation, reporting, and administrative coordination.
  • Prepare client invoices and assist with billing activities while ensuring accuracy and compliance with client requirements.
  • Monitor project budgets, schedules, deliverables, and status reports.
  • Review project documentation for quality, completeness, and accuracy.
  • Prepare correspondence, reports, professional letters, and other business documents.
  • Communicate professionally with clients, vendors, and internal stakeholders regarding project updates and requests.
  • Coordinate office vendors, supplies, equipment, meetings, and facility needs.
  • Serve as a liaison between multiple departments to facilitate communication and workflow.
  • Maintain confidential financial and operational records.
  • Assist with accounting support functions, including invoice tracking, expense reconciliation, and reporting.
  • Identify opportunities to improve administrative processes and operational efficiency.
  • Obtain Florida Notary Public certification within 90 days of employment if not currently commissioned.
Qualifications
  • Minimum of 3 years of experience in project coordination, business operations, office administration, accounting support, or a related role.
  • Strong proficiency with Microsoft Office, including advanced Excel skills.
  • Experience with Microsoft Outlook, Word, Teams, OneDrive, SharePoint, and related business software.
  • Excellent organizational and time management skills.
  • Ability to manage multiple priorities with minimal supervision.
  • Strong analytical and problem-solving abilities.
  • Professional written and verbal communication skills.
  • Ability to work with confidential financial and business information.
  • Florida Notary Public certification or ability to obtain within 90 days.
Preferred Qualifications
  • Bachelor's degree in Business Administration, Project Management, Accounting, Legal Studies, or a related field preferred.
  • Experience supporting projects within professional services, engineering, consulting, construction, or real estate environments.
  • Experience with project tracking, billing, document management, or contract administration.
  • Strong attention to detail with excellent proofreading and quality control skills.
  • Ability to independently research issues and develop practical solutions.
