    Overview of Part-Time Assistant to the Associate Dean

    This position is expected to work approximately 19 hours/week. Benefits do not apply.

    The College of Technology (COT) at Purdue University Northwest (PNW) is seeking a Part Time Administrative Assistant to the Associate Dean. The Assistant position will provide administrative support for Graduate Studies to the Associate Dean and assist community college outreach and articulation. This position will serve as the principal functional liaison between the Associate Dean, and the COT Dean, Department heads, faculty, staff, and students, as well as other University offices, such as the Graduate School, Enrollment Services and the International Programs office.

    Schedule:

    Monday, Tuesday, Thursday, Friday, and occasional weekend (at most 1 weekend a month with half-day work)

    Duties and Responsibilities of Part-Time Assistant to the Associate Dean

    • Provide administrative support for Graduate Studies to the Associate Dean
    • Respond to inquiries of Graduate Faculty relating to the Graduate Program policies and procedures.
    • Coordinate and attend GEC and GSAC meetings
    • Plan and execute special events
    • Schedule semester classes in Unitime with approval from Associate Dean and Department Chairs
    • Plan, prepare and promote PNW graduate showcase and in-person and virtual COT graduate student recruitment events
    • Conduct targeted outreach to community colleges and prospective transfer students
    • Help to facilitate and participate in class visits to target community colleges with COT faculty members and students
    • Help develop, expand, and establish transfer pathways and articulation agreements between community colleges and the PNW College of Technology
    • Assist community college outreach in Associate Dean's absence

    Education

    • High School diploma/GED
    • Bachelors degree preferred

    Experience

    • Four years' of clerical and high level administrative support experience
    • Higher education academic setting a plus

    Core Competencies

    • Must have strong verbal and written communication skills
    • Ability to supervise staff and students
    • Ability to plan and execute regular community college campus visits, information sessions, transfer fairs, and drop-in advising hours at partner community colleges
    • Present transfer options, admissions requirements, financial aid information, and degree benefits to prospective community college transfer students
    • Ability to develop targeted outreach campaigns, promotional materials, and digital communications tailored specifically to community college students and transfer counselors
    • Ability to evaluate community college syllabi and course descriptions for credit equivalency
    • Ability to build and sustain strong working relationships with community college transfer directors, academic advisors, department chairs, and counselors
    • Ability to conduct oneself in a professional manner is essential
