Associate's or Bachelor's degree is preferred.
4–5 years of project management, project coordination, or operations experience.
Experience managing multiple projects with competing priorities.
Strong organizational, planning, and problem-solving skills.
Excellent verbal and written communication skills.
Ability to build strong relationships with customers, vendors, and cross-functional teams.
Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, PowerPoint and Smartsheet.
Experience using ERP systems, project management software, or CRM platforms is a plus.
Ability to work independently while collaborating effectively in a team environment.
Strong attention to detail with excellent time management and follow-through.
Project Management
Manage multiple projects simultaneously, ensuring milestones, deliverables, and deadlines are achieved.
Coordinate project activities between internal departments, customers, and external vendors.
Develop and maintain project schedules, timelines, and status reports.
Facilitate regular project meetings, document meeting minutes, and communicate action items to stakeholders.
Maintain project documentation, revision control, and project records throughout the project lifecycle.
Monitor project progress and proactively identify risks, issues, and potential delays.
Develop mitigation plans and work with stakeholders to resolve project challenges.
Coordinate project reviews, inspections, testing activities, and customer acceptance processes as required.
Provide regular project updates to leadership, customers, and project stakeholders.
Ensure all project deliverables meet quality standards and customer expectations.
Vendor & Customer Coordination
Serve as the primary point of contact between customers, vendors, and internal teams throughout the project.
Coordinate vendor schedules, deliverables, and project activities.
Track vendor performance and ensure timely completion of assigned work.
Support customer communications by providing project updates and managing expectations.
Coordinate meetings with customers and vendors to review project status and address open issues.
Logistics & Documentation
Coordinate project logistics, including scheduling, transportation, and delivery of materials or equipment as needed.
Track shipments and deliveries while communicating status updates to internal teams and customers.
Prepare and maintain project documentation required for project execution, invoicing, and customer approvals.
Ensure all documentation is accurate, complete, and submitted according to project timelines.
Coordinate with Finance and other internal departments to support billing milestones and project closeout activities.
