    Job Description

    The Parts & Logistics Assistant is a hands-on position responsible for supporting the daily parts, warehouse, inventory, shipping, and logistics needs of HITEC's nationwide Field Service organization. HITEC operates in a 24/7/365 critical-power environment, and our customers depend on our Service organization to respond around the clock when critical equipment requires support.

    This role is responsible for accurately picking parts, building service kits, receiving and stocking inventory, performing stock and cycle counts, preparing and tracking shipments, supporting urgent and emergency parts requests, and maintaining a clean and organized warehouse. Field Service Technicians are located throughout the United States, making accuracy, urgency, communication, and follow-through essential.

    The successful candidate is organized, dependable, computer savvy, physically capable of warehouse work, and experienced in parts, logistics, shipping/receiving, inventory, or warehouse operations. The employee must also understand that occasional extended hours, evenings, weekends, or after-hours support may be required when a critical shipment or customer need cannot wait until the next business day.

    Key Responsibilities

    Parts Picking & Kit Building

    Pick parts accurately based on work orders, parts lists, service requirements, and direction from the Parts & Logistics Lead.

    Build complete parts kits for preventive maintenance, overhauls, corrective maintenance, emergency service, projects, and other field activities.

    Verify part numbers, descriptions, quantities, job information, and destination before a kit or shipment is released.

    Clearly label and organize kits by customer, site, unit, technician, or job as required.

    Identify missing, damaged, or incorrect parts before kits are released and communicate shortages immediately.

    Stage completed kits and materials for shipment or technician pickup and process unused returned parts back into inventory.

    Inventory, Stock & Cycle Counts

    Receive, inspect, label, stock, and organize incoming parts, tools, equipment, and materials.

    Verify incoming shipments against purchase orders, packing slips, and other documentation; report shortages, damage, or discrepancies.

    Perform routine stock counts, scheduled cycle counts, and physical inventory counts to maintain inventory accuracy.

    Research and help resolve inventory discrepancies and maintain accurate bin, shelf, and storage locations.

    Monitor commonly used parts and supplies and communicate low-stock conditions to the Parts & Logistics Lead.

    Maintain accurate movement of parts into, out of, and between inventory locations.

    Shipping, Receiving & Logistics

    Pick, pack, label, and prepare parts, tools, equipment, and materials for shipment throughout the United States.

    Process and coordinate shipments through FedEx, UPS, couriers, freight carriers, LTL providers, and other approved transportation providers.

    Prepare shipping labels, packing lists, tracking information, and required shipping documentation.

    Package parts and equipment appropriately to prevent damage during transportation.

    Track critical and expedited shipments through delivery and communicate delays or delivery risks promptly.

    Support same-day, next-day, overnight, and emergency shipping requirements for Field Service.

    Assist with pallets, freight shipments, loading, unloading, and staging larger parts or equipment.

    Nationwide Field Service & Emergency Support

    Support Field Service Technicians located throughout the United States with parts, tools, materials, and equipment.

    Coordinate shipments to customer sites, technician locations, hotels, carrier hold locations, and other approved destinations as required.

    Respond with urgency to equipment-down situations and emergency parts requests while maintaining shipment and parts accuracy.

    Make local runs to FedEx, UPS, airport cargo facilities, freight terminals, vendors, or other locations when necessary to meet overnight or priority shipping cutoffs.

    Stay beyond normal scheduled hours when reasonably required to complete a critical shipment or support an urgent Service need.

    Occasionally report to the warehouse during evenings or weekends to locate, pick, kit, verify, receive, or ship critical parts when business needs require.

    Check part availability, inventory status, or shipment status after hours when assigned or requested by Service leadership.

    Communicate immediately when a critical part is unavailable, a shipment may miss cutoff, or another issue could affect the technician or customer.

    Warehouse Operations, Forklift & Housekeeping

    Safely operate a forklift, pallet jack, carts, and other authorized material-handling equipment.

    Load and unload trucks, delivery vehicles, pallets, and freight safely.

    Move, stage, and organize parts, tools, equipment, pallets, and other materials.

    Maintain clean, organized, clearly labeled bins, shelves, aisles, storage areas, and workspaces.

    Perform basic warehouse cleaning and housekeeping including sweeping, breaking down boxes, disposing of packaging, and keeping work areas safe and orderly.

    Follow HITEC safety procedures and immediately report unsafe conditions, damaged equipment, or material-handling concerns.

    Documentation, Systems & Administrative Support

    Enter receiving, shipping, inventory movement, and parts information accurately into company systems.

    Maintain shipping receipts, packing slips, tracking information, inventory records, and other required documentation.

    Update spreadsheets, inventory trackers, shipping logs, and reports as required.

    Use Microsoft Outlook, Excel, shipping websites, inventory/ERP systems, and other company applications.

    Complete basic paperwork, filing, scanning, labeling, and administrative work as needed.

    Perform other duties as assigned in support of the Parts & Logistics and Service organizations.
