The Patient Scheduler serves as the first point of contact to welcome and assist Radiology/Intervention Radiology patients at the outpatient-based lab (OBL). This position is responsible for scheduling Radiology patient appointments and procedures, handling patient billing, and creating patient charts, all in accordance with practice guidelines.

Essential Duties and Responsibilities

  • Welcome and greet patients checking in/out for clinical visits and/or procedures at the OBL. Collect and scan insurance cards and collect other necessary documents or information.
  • Answer incoming phone calls. Assist callers and troubleshoot issues; escalate disgruntled patients as needed.
  • Schedule and confirm patient appointments for hospital and clinic services, during OBL visits and through outreach phone calls.
  • Conduct follow-up phone calls to schedule Radiology consultations and/or procedures; assist and schedule patients returning phone calls.
  • Create new patient charts. Compile, record, and maintain patient records. 
  • Collect and distribute key medical patient documents required for successful registration, scheduling, and billing for procedures and appointments.
  • Review and process incoming referrals, labs, and other faxes. Conduct research to determine specific procedures, obtain any required documentation, obtain physician approval, and move to scheduling step.
  • Manage patient billing, ensuring patients are billed accurately and in a timely manner.
  • Provide daily and weekly schedule to medical providers.
  • Support medical office staff with other administrative tasks to support patient care.
  • Serve as back-up for co-workers’ duties.

Education and Experience Requirements 

  • High school diploma or equivalent.
  • 1+ years of experience with interventional radiology procedures and scheduling.
  • 1+ years of experience coordinating patient appointments and/or using medical scheduling software, preferred.
  • Formal training on medical terminology, preferred.

  • Technical Savviness – comfort with and ability to navigate standard Microsoft Suite (especially MS Excel spreadsheets) along with computer software for scheduling
