Description
A busy healthcare clinic is seeking a professional and organized Patient Services Coordinator to support reception, patient registration, insurance verification, payment processing, and day-to-day front office operations. This position is well suited for someone with strong customer service abilities, basic computer knowledge, and the ability to remain accurate and composed in a fast-paced medical setting.
The Patient Services Coordinator will serve as a primary point of contact for patients and help create an efficient, welcoming, and professional experience throughout each visit.
Primary Responsibilities
Welcome patients and provide a courteous, professional first impression
Complete patient check-in and check-out procedures accurately and efficiently
Distribute registration forms and collect required patient information and documentation
Obtain, scan, and upload insurance cards, identification, and other necessary records
Register new patients and update demographic, contact, and insurance information for existing patients
Confirm insurance coverage and eligibility in a timely and accurate manner
Collect copays, outstanding balances, service fees, and other patient payments
Process cash, checks, and credit card transactions according to clinic procedures
Respond to routine billing questions, payment concerns, and account inquiries
Help coordinate patient flow and communicate delays, wait times, or scheduling updates
Answer incoming calls professionally and direct messages or inquiries appropriately
Respond promptly to patient requests while maintaining a helpful and respectful approach
Assist with follow-up scheduling, appointment coordination, and medical record requests
Reconcile daily patient charges and payment activity with system-generated reports
Perform opening and closing duties, including preparing forms, organizing paperwork, and submitting required reports
Follow established cash-handling procedures and help protect clinic financial assets
Maintain accurate, complete, and confidential patient records
Provide general administrative and clerical support to front office and clinical teams
Follow HIPAA requirements, privacy standards, clinic procedures, and organizational policies
Minimum Qualifications
High school diploma or GED
Current HIPAA compliance training or credential
Basic computer proficiency, including experience with Microsoft Office or comparable software
Strong attention to detail and commitment to accuracy
Excellent customer service skills and a patient-centered attitude
Professional appearance, communication style, and workplace demeanor
Clear, courteous, and confident telephone skills
Ability to organize multiple responsibilities and adjust priorities as needed
Ability to protect confidential patient, insurance, and financial information
Preferred Qualifications
Previous experience in medical reception, patient access, registration, front desk support, or healthcare administration
Experience confirming insurance benefits and collecting patient payments
Familiarity with electronic health records, appointment scheduling platforms, or practice-management systems
Experience in urgent care, family medicine, occupational health, primary care, or a walk-in clinic
General understanding of medical office procedures, billing workflows, and patient documentation requirements
