We are seeking an experienced Payroll Specialist to join our team. In this role, you will ensure accurate, compliant, and timely payroll processing for employees across the organization. This role is responsible for payroll data accuracy and consistency, administering payroll taxes and deductions, and serving as a trusted resource for employee payroll inquiries.

This is an in-office position, Monday - Friday, 8:00am - 5:00pm.

Job Responsibilities:

  • Primary point of contact with the Payroll System Provider to ensure full functionality of the payroll system.
  • Dictate and ensure the functional requirements (mapping data flows, defining pay rules, setting up tax jurisdictions, and establishing deduction schedules) in tandem with the HRIS Analyst to apply those rules to the software.
  • Execute semi-monthly, multi-state, and off-cycle payrolls for 500+ employees with a high degree of accuracy.
  • Troubleshoot escalated payroll issues and guide HR, managers, and employees.
  • Work with tax departments and payroll vendors for out-of-state employees regarding tax accounts, reporting requirements, and other related responsibilities.
  • Oversee the preparation, entry, auditing, and approval of payroll data. Ensure compliance with federal, state, and local wage and hour laws.
  • Prepare and review complex payroll reports for accounting, benefits, audits, and deferred compensation.
  • Maintain organized and accurate payroll records in accordance with internal controls and regulatory requirements.
  • Partner with employees at all levels to address payroll inquiries with clarity, patience, and a solutions-first approach.
  • Routine communication with the Human Resources department to align payroll info regarding employee onboarding, termination, and adjustments accurately and promptly.
  • Review and submit all payroll withholdings, including HSA, 401(k), garnishments, and other deductions.
  • Process and audit final pay for terminated employees to ensure statutory compliance.
  • Conduct regular audits of payroll systems and employee data to ensure accuracy, compliance, and operational readiness.
  • Complete year-end payroll activities, including W-2 preparation, reconciliations, and compliance reporting.
  • Identify, recommend, and help implement payroll process improvements and automation opportunities.
  • Perform additional payroll duties as assigned.
  • Regular and punctual attendance.

Required Qualifications

  • High school diploma or equivalent work experience.
  • 3 or more years of high-volume, multi-state payroll experience.
  • Experience with payroll software, such as:
  • ADP Workforce Now
  • Paychex Plex
  • QuickBooks Payroll
  • UKG Pro
  • Workday
  • Proficiency with Microsoft Excel (formulas, pivot tables, data analysis).
  • Experience with HRIS and timekeeping systems.
  • Knowledge of direct deposit, wage garnishments, tax withholding, and benefits deductions.
  • Federal, state, and local payroll tax regulations.
  • Wage and hour laws, including overtime rules.
  • Payroll reporting requirements.
  • Recordkeeping and confidentiality standards.
  • Year-end processes such as issuing tax forms.
  • Proficiency with Google Workspace applications (Mail, Calendar, Drive, Docs, Sheets, Slides, Chat, Meet).

Preferred Qualifications

  • Associates or Bachelor's degree in accounting, finance, or business administration.
  • American Payroll Association's:
  • Fundamental Payroll Certification (FPC)
  • Certified Payroll Professional (CPP)
  • 5 years of high-volume, multi-state payroll experience in an organization of 500+ employees.
  • Experience with UKG Pro and WFM.
  • Experience with system implementations or configurations.
  • Strong proficiency with Microsoft Excel or Google Sheets (formulas, pivot tables, v-lookups, data validation, etc.).

  • Demonstrated ability to problem-solve and lead initiatives.

Compensation:

  • The expected salary range for this position is $58,000 to $70,000 annually, based on knowledge, skills, abilities and experience.
  • In accordance with Colorado state law, this position is non-exempt, and all overtime will be paid at time and a half.
  • There is potential for an annual employee profit-sharing bonus based on company performance
