The Payroll Specialist is responsible for supporting the accurate and timely processing of payroll for salaried and hourly employees while ensuring compliance with applicable federal, state, and organizational policies and regulations. The position performs payroll data entry, validation, reconciliation, and review activities; coordinates timekeeping and payroll transactions; and serves as a primary resource for hourly payroll and timesheet processing.

Working closely with payroll leadership, the position reviews and resolves payroll discrepancies, assists employees and supervisors with payroll-related inquiries, and supports payroll tax reporting, reconciliations, audits, and year-end activities. The Payroll Specialist also processes non-routine payroll transactions and maintains payroll records and documentation to ensure payroll operations are accurate, compliant, and completed within established deadlines.

This position does not include supervisory responsibilities.

Type of Recruitment Knowledge, skills and abilities

  • Considerable knowledge of payroll processing practices, including full payroll cycle activities for salaried and hourly employees.
  • Working knowledge of payroll accounting principles, HRIS or payroll data processing systems, and payroll recordkeeping requirements.
  • Working knowledge of applicable payroll-related laws, regulations, policies, and procedures.
  • Working to considerable proficiency in Microsoft Office applications, with extensive skill in Microsoft Excel and Word.
  • Working ability to review payroll data for accuracy, completeness, and compliance with established procedures.
  • Working ability to organize, prioritize, and manage time effectively in order to meet payroll deadlines.
  • Working ability to demonstrate ethical conduct, maintain confidentiality, and handle sensitive payroll and employee information appropriately.
  • Working communication ability to interact clearly and professionally with internal and external customers regarding payroll-related matters.
  • Working technical capacity to utilize payroll systems, databases, and standard office software.

  • Considerable experience processing full payroll cycles, typically demonstrated through two or more years of payroll processing experience.

  • Considerable experience working with HRIS or payroll systems in a structured payroll environment.
  • Working experience supporting payroll operations in a higher education, governmental, or similarly regulated environment.
